We are seeking a polished and proactive Office Manager/Receptionist to be the backbone for one of Chicago's Best Places to Work financial services firm. In this dynamic role, you will oversee daily operations, maintain a professional work environment, and serve as the first point of contact for clients and visitors. Responsibilities
- Organize office operations and procedures, including correspondence management, filing systems, and supply requisitions.
- Oversee office maintenance, layout organization, and inventory of office supplies and equipment.
- Coordinate service requests, security matters, and office-related inquiries with building management.
- Manage and maintain conference rooms and corporate calendars.
- Support firm-wide meetings through coordination and execution.
- Serve as the primary floor steward for security and safety protocols.
- Assist accounts payable with monthly expense reporting, invoicing, and corporate credit card management.
- Manage franchise tax filings and related administrative tasks.
- Act as the Account Manager for office and company-wide vendors.
- Provide basic technology troubleshooting and maintenance support.
- Serve as the Chicago office's receptionist, professionally managing calls, greeting visitors, and handling mail distribution and preparation.
- Assist with community initiatives, manage "life events" recognition.
Ideal Experience
- Bachelor's degree is strongly preferred.
- 2-5 years of experience within a professional services environment.
- Previous experience in office management, administration, or a similar role is required.
- Must have a polished, professional demeanor with a warm, friendly approach and a strong commitment to providing top-tier service.
- Highly motivated with a positive attitude and a strong work ethic.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
