Are you an experienced professional with a background in both office management and paralegal work? We are seeking a dynamic individual to join our client's law firm in a dual role that combines leadership and legal expertise. This position is ideal for someone who has direct management experience in a small to mid-size law office and a strong background in Litigation/Construction paralegal work.

Key Responsibilities:

Office Manager Duties:
  • Lead and motivate support staff, emphasizing teamwork and efficiency.
  • Oversee workloads and delegate tasks to ensure timely completion.
  • Interpret and explain company policies and office procedures.
  • Resolve work problems and assist others in finding solutions.
  • Maintain time records for support staff to ensure proper coverage.
  • Serve as a contact point for attorneys when their Legal Administrative Assistant (LAA) is unavailable.
  • Plan and coordinate lunch schedules and firm-sponsored events.
  • Assist in the recruitment, screening, hiring, onboarding, and training of support staff.
  • Manage on-site file systems and transition files to off-site storage.
Paralegal Duties:
  • Coordinate assembly of exhibits and appendices for court papers, depositions, arbitrations, and trials.
  • Set up and manage war rooms for trials and arbitrations.
  • Prepare for and attend depositions, hearings, trials, and arbitrations.
  • Draft routine correspondence, memoranda, subpoenas, summons, and other legal documents.
  • Conduct factual or legal research and examine public records.
  • Assist with the due diligence process and prepare affidavits of due diligence.
  • Communicate and coordinate with all team members, including partners, associates, Litigation Support, IT, LAAs, and office services.
  • Maintain knowledge of procedural and court rules, docketing procedures, e-filing processes, and e-discovery rules.
Qualifications:
  • High School Diploma or equivalent years of experience required.
  • 2-4 years of management experience, preferably in a law firm.
  • 3-5 years of law firm experience.
  • Proficiency in Microsoft Office and iManage document management system.
  • Strong organizational and prioritization skills.
