Job Position: Office Manager
Location: Wauconda, IL 60084
Pay Rate: $55k-60k/year
Hours: 8:00am - 5:00pm Monday-Friday
Description:- Process weekly and certified payroll, ensuring accuracy and compliance
- Print & Save Vendor invoices daily and separated by vendor while making sure the invoice matches the packing list
- Handle all aspects of QuickBooks, including bookkeeping, reports, and financial reconciliations
- Create, collect track, and maintain contractor and vendor waivers and related documents
- Generate and review reports for vendor accounts, payments, and performance
- Prepare & create union reports monthly for union dues
- Maintain records for company vehicles, including maintenance, safety inspections, and insurance
- Support the team with daily general office tasks, such as answering phones, ordering material, scheduling inspections
- Other duties as assigned
Qualifications:- Proven experience as an Office Manager of similar administrative role (ideally in the plumbing or construction industry)
- Strong proficiency in QuickBooks and payroll systems
- In-depth knowledge of certified payroll and related processes
- Understanding of contractor/vendor waivers and related documentation
- Excellent organizational skills with the ability to mange multiple tasks and priorities at the same time
- Strong attention to detail and problem-solving skills
- Ability to work independently and as part of a team
- Exceptional written and verbal communication skills
- A proactive, resourceful attitude toward challenges and daily responsibilities
