Office Manager

We are looking for a passionate, people-focused, self-motivated, and dynamic Office Manager with the ability to build meaningful relationships and to lead the office, impacting everyday people, every day of the week.

A typical and great day for you would be collaborating with the Principal and managing the office's administrative functions. You would be the Principal's second in command, ensuring that the office runs smoothly. You will manage all aspects of the office from supplies to schedules.

Qualifications

Passion for people; is an active listener seeking to understand before any response is given

Has a desire for self-improvement, continuing education, and self-reflection.

Minimum 5 years of recent experience in office management or project accounting in the design or construction industries - if you have a little less, apply anyway. We will train.

Proficiency in relevant computer software:

o Quickbooks or other double-entry accounting software

o Microsoft Office Suite

o Adobe Creative Suite

o Bluebeam

Flexibility to travel to local jobsites as needed.

Excellent verbal and written communication as well as time management skills

Dynamic and captivating presentation skills

Comfortable taking responsibility for internal and external project communication and coordination.

Has a love for mentoring and coaching junior staff and assisting in professional development.

Essential Duties

You get to have personal interactions with EVERYONE through building and maintaining meaningful and authentic relationships. We're a little old school that communication is key: in person is best, phone/text is next, and written correspondence is for record keeping.

Simply, you are a kindness giver. You are an ambassador of kindness by being an example of responsiveness, attention to detail, and caring about the people involved.

Your opinion counts - so give it. Have an opinion with creative solutions, and also be ready to follow directions.

Be an accountable, communicative self-starter. Not that you'd go rogue or anything. We expect that you'd freely review all projects daily with the Principal by discussing status on milestones/deliverables, emails, and other correspondence received or required, and ideas for any improvements or modifications to current project deliverables.

Be dependable for all deadlines you set for yourself or may be given.

Details matter. You'll be responsible for providing strong technical detailing skills in a variety of construction materials and building types.

Teamwork, teamwork, teamwork. It sometimes feels like it takes a village to complete some of the work we need to. For some projects, you're the quarterback in charge of coordinating information, managing consultants, delegating work assignments, and setting schedules/deadlines.

You set the stage for a successful team by being not just a cheerleader, but also a bit of a pitbull on project deadlines and milestones.

You make sure it all gets done. Most of our work requires submittal to jurisdictional agencies. Each one has its own rules and regs - you make sure we get our work done the way they want to see it.

The Work

1. Managing employee schedules, timesheets, and project deadlines.

2. Taking inventory of office supplies and ordering more if needed.

3. Helping establish and maintain office procedures.

4. Assisting the senior management team on any task when needed.

5. Dealing with staff recruitment.

6. Attending seminars and training.

7. Designing and implementing office policies, including human resources, vacation/sick time policies, sales incentive policies, bonus structure, etc.

8. Manage the entering and implementation of payroll.

9. Managing office occupancy and enforcing seating standards.

10. Managing the Receptionist desk as the first point of contact for visitors.

11. Assisting with procurement and purchasing.

12. Bookkeeping, data entry, and reconciliations.

13. Manage tax preparation and 1099 issuing.

14. Manage TPT, ROC, and State Architectural license renewals

15. Manage and coordinate an IT Consultant.

16. Manage vendor COIs and W-9s.

17. Coordinate with Construction Project Managers on issuing lien waivers.

18. Manage accounts payable. In coordination with the Principal or Controller, issue checks.

19. Provide billing prep reports and draft invoices.

20. Assist with drafting proposals and contracts.

21. Manage the social media content/post schedule and proofread all content created for alignment with our brand.

22. Manage office events, including weekly lunch and learns, monthly family meal, and quarterly office events/tours.

23. Other tasks as requested or assigned.

Job Type

Full-time

Salary: $50,000-$80,000 depending on experience and qualifications

This is a full-time in-office position. M-T 8-6, F 8-12
