Position: Office Manager
Location: North Phoenix, AZ (Office)
Type: Full-Time, Direct Hire
Schedule: Monday-Friday, 8:00 AM-5:00 PM
Compensation: $65,000-$75,000 annually
HotFoot Recruiters is partnering with a leading engineering and construction firm to hire a proactive and highly organized
Office Manager. This individual will oversee daily office operations, support cross-functional teams, and ensure smooth coordination across administrative, HR, and procurement functions. Ideal for candidates who thrive in fast-paced, project-driven environments and are comfortable interacting with both internal departments and external vendors.
Responsibilities - Ensure compliance with internal SOPs and assist in continuous improvement of administrative processes
- Oversee general office operations including supply ordering, vendor coordination, and facility upkeep
- Manage calendars, schedule meetings, and coordinate internal and external communications
- Support HR with onboarding logistics, employee records, and timesheet verification
- Assist project managers with procurement tracking, PO management, and invoice coordination
- Maintain organized filing systems for administrative and construction-related documents
- Act as a liaison between Arizona operations and overseas leadership or teams
- Provide executive support to senior management as needed
- Travel up to 25% of the time to construction project sites as required
Qualifications - 3-5 years of office management or administrative operations experience (construction or engineering industry preferred)
- Must be able to handle confidential information with professionalism and discretion
- Strong organizational, multitasking, and communication skills
- Proficiency in Microsoft Office (Excel, Outlook, Word, PowerPoint)
- Familiarity with procurement or project tracking systems a plus
- Must be able to pass a background check and 10-panel drug screen
- Bilingual in Mandarin preferred, but not required
