Job Description: Office Manager

Primary Functions: Be the ultimate human connector of our office, orchestrating seamless operations and creating a vibrant work environment where our team can thrive and innovate.
Specific Responsibilities:
- Chief of First Impressions: Be the go-to person for our executive team, handling everything from scheduling meetings to arranging travel plans.
- Front Office Dynamo: Be the gatekeeper for the front office duties, ensuring every visitor feels welcome. This includes handling calls, mail, coordinating schedules, taking meeting minutes, overseeing office supplies, and keeping the reception area looking fabulous.
- Calendar Wizard: Be the glue that keeps it together for all staff calendars in tip-top shape through outlook.
- Meeting Maestro: Schedule and facilitate meetings with clients, funders, and vendors.
- HR Hero: May include assisting with payroll, onboarding, recruitment, and maintaining employee files, along with being the keeper of all secrets.
- Tech Troubleshooter: Be the primary contact with our IT vendor and have a basic understanding of IT to solve user or system issues.
- Report Rockstar: Support in compiling department reports which may require this superhero to understand and speak Excel.
- Budget Buddy: Assist with the preparation of the annual budget.
- Confidentiality Champion: Handle sensitive information with the utmost discretion.
- Events Assistant Guru: Must be able to provide support for onsite and offsite events.
- Process Pro: Create and maintain administrative processes and policies.
- CEO's Right Hand: Perform additional duties as assigned by the CEO.
Minimum Qualifications:
- Bilingual in English and Spanish is a plus.
- Stellar verbal communication and customer service skills.
- Ability to pass a background check.
- Top-notch planning and time management skills.
- Must have your own vehicle and be ready to travel to various offsite locations.
- Willingness to travel out of town/state for training opportunities.
- Full knowledge of office management systems and procedures.
- Tech-savvy with a knack for learning new platforms and a good working knowledge of MS Office.
- Ability to multitask and prioritize daily workload.
- Excellent organizational skills and attention to detail.
- High-level verbal and written communication skills.
- Discretion with personal and confidential information.
Work Direction: Reports directly to the Chief Executive Officer
Physical Effort: Some physical effort required, such as walking, standing, and light lifting. May require extended periods at a computer terminal.
Office Hours: 7:00 am - 5:30 pm with a half-hour lunch break. Monday - Thursday. Full Time. 40 hours per week. Some nights, evenings, or weekends may be required for community events.
Salary Range: $47K- $52k annually
