Position Overview:
The Office Manager supports the daily operations of the restaurant & office and works closely with the Director of Operations (DO), General Manager (GM), and both front-of-house (FOH) and back-of-house (BOH) management teams. This role is involved in key functions including payroll, staffing, onboarding, terminations, vendor invoice processing, and budget tracking. The Administrative Assistant also provides vital daily support for employee relations, server & bartender personnel financial check-outs, general accounting & invoicing tasks, and administrative operations.

Key Responsibilities:

Restaurant Operations & Support - 50%
  • Maintain office supply inventory and order as needed.
  • Ensure the host stand is stocked with marketing and promotional materials.
  • Track ServSafe and Responsible Vendor certification expiration dates and follow up as needed.
  • Manage lost and found, including secure storage and appropriate documentation for items such as credit cards.
  • Adjust employee time records and menu pricing in Aloha POS as directed.
  • Enter data related to employee availability, invoices, and other operations into Restaurant365.
  • Disseminate announcements and updates to staff.
  • Process new hire paperwork, including ADP, I-9's, ID's, Hot Schedules, and any data needed for onboarding.
  • Perform daily server & bartender financial check-outs including paperwork signed off, funds collected & dispersed.
  • Manage radio/equipment distribution for hourly staff.
  • Count safe, distribute banks, track radios, and manage related sign-out sheets.
  • Arrange and manage change runs for cash banks.
  • Enter daily bartender and server tip-outs into Aloha promptly.
  • Daily financial reporting, scanning, uploading, data entry, and verifying process & payments.
Employee & HR Support - 25%
  • Distribute paychecks and tip-outs.
  • Schedule interviews, update applicant statuses, and print applications as needed.
  • Ensure interview schedules are communicated to hosts/hostesses.
  • Enter new hires, changes, and terminations into Aloha and HRIS systems.
  • Complete E-Verify for all new hires.
  • Maintain accurate and organized employee files.
  • Answer general employee questions and assist with ADP registration.
  • Create name tags for Retail team members.
Administrative & Payroll Support - 25%
  • Answer phones and respond to voicemail and email inquiries.
  • Assist with reservations and large party bookings.
  • Maintain payroll records and gather necessary data for payroll processing.
  • Respond to payroll, W-2, and other employee-related inquiries.
  • Keep the office clean, organized, and running efficiently.
  • Assist with other administrative duties as assigned.

Qualifications:
  • Minimum 2 years of related experience in restaurant operations, office administration, payroll, or vendor relations.
  • Experience using HRIS systems, preferably ADP.
  • Proficient in Restaurant365, Microsoft Excel, Word, Outlook, and Adobe.
  • Strong communication and interpersonal skills.
  • Basic understanding of employment laws and HR best practices.
  • Highly organized, with excellent attention to detail.
Education:
  • High school diploma or equivalent required.
  • Associate's degree in a related field preferred.
Work Environment:
  • Work is performed primarily in a restaurant office environment, with extensive use of computer and telephone.
