US Office Manager

ER Productions is looking for a proven Office Manager to assist in the administrative and financial operations that take place on a daily basis.


Purpose Of the Role


Provide administrative and office management support to the President of US Operation on the day to day running of the business operations. Supporting the global finance function to ensure clients pay their bills and vendors are paid in a timely manner.


Key Responsibilities


  • Supporting the US President of Operations to ensure the smooth operations of the US office and the various administrative aspects of this.
  • Responsible for correctly maintaining the office and financial records pertinent to the US office.
  • Support ER's global bookkeeping service and assist with finance administrative matters.
  • Ensuring correct paperwork is submitted to global finance in a timely manner.
  • Managing vendor relationships and be the point of contact for vendor queries.
  • Responsible for ensuring vendors are paid to terms.
  • Liaising with clients on sales invoicing and payment collections.
  • Delivering ER's financial policies and delegation of authority matrix.
  • Liaising with US project management teams to ensure the correct invoicing of clients.
  • Some Human Resources support, including hours management and assisting with writing local Policies and Procedures.
  • Work with company insurance representatives, COI's and Audits
  • Work with ER's local CPA to coordinate any reporting and information requests as required.

Key Experience


  • A minimum of five (5) years office administration experience
  • A minimum of two (2) years proven financial and budgetary control experience.
  • Knowledge of QuickBooks and or Xero accounting package
  • Key Skills and Attributes
  • Excellent written communication skills
  • Intermediate Excel skills in Microsoft Excel and/or Google Sheets
  • Ability to work across multiple time zones
  • Attention to detail
  • MacBook literacy
  • Ability to meet deadlines
  • Problem resolution skills and ability to think outside the box
