Birg Law is a dynamic and fast-growing immigration law firm based in Northfield, IL, dedicated to helping individuals, families, and businesses navigate complex immigration processes. We are seeking a highly organized, proactive, and experienced Office Manager to ensure smooth day-to-day operations and support our legal team in delivering excellent service to our clients.
Job Summary:The Office Manager will oversee the administrative operations of the law firm, including team coordination, client communications, scheduling, billing, and facilities management. The ideal candidate will have prior experience in an immigration or law firm setting and be able to manage a fast-paced environment with discretion, professionalism, and efficiency.
Key Responsibilities:- Oversee and manage daily administrative operations of the office
- Supervise and support administrative and legal staff
- Maintain and organize office procedures, supplies, and records
- Coordinate attorney schedules, court dates, and appointments
- Ensure accurate and timely client intake and file management
- Monitor and manage billing and invoicing processes
- Serve as a liaison between staff, clients, and vendors
- Implement and improve office systems and workflows
- Assist in HR-related tasks including onboarding, training, and performance tracking
- Maintain confidentiality and ensure compliance with legal and ethical standards
Qualifications:- Proven experience as an Office Manager, preferably in an immigration or legal setting
- Strong understanding of office administration and basic HR practices
- Excellent time management, organizational, and leadership skills
- Proficiency in Microsoft Office Suite and legal case management software (e.g., Clio, LawLogix, or similar)
- Exceptional written and verbal communication skills
- High level of professionalism and attention to detail
- Ability to handle sensitive information with discretion
- Bilingual (Spanish, Russian, or Ukrainian) is a plus
Education & Experience:- Associate's or Bachelor's degree preferred
- 3+ years of experience in office management in a law firm or similar environment
