We are seeking a highly skilled, and dynamic, Office Manager to provide support to our executive leadership team while overseeing the day-to-day operations of our corporate office. This hybrid role requires a high degree of professionalism, situational awareness, technical proficiency, and leadership.


To succeed in this position, you must be proactive, adaptable, self-motivated, and comfortable juggling competing priorities in a fast-paced environment. The ideal candidate is detail-oriented, discreet, and capable of working independently while also collaborating across departments to drive organizational efficiency and support executive initiatives. The ability to effectively anticipate executive and business needs is critical for success.


Key Responsibilities


Executive Support

  • Provide proactive and comprehensive administrative support to the CFO and other senior executives.
  • Manage multiple complex calendars, coordinate meetings, screen correspondence, and organize internal/external communications.
  • Prepare, edit, and proof executive-level documents, presentations, and reports, ensuring accuracy and professionalism.
  • Handle confidential and sensitive information with absolute discretion and sound judgment.
  • Monitor and manage incoming emails and requests on behalf of executives; flag priorities and provide summaries.
  • Coordinate and manage detailed travel arrangements and itineraries, track and process expense reimbursements.
  • Anticipate executive needs and provide timely, relevant briefings ahead of meetings, deadlines, and travel.

Office Services Management

  • Oversee the daily operations and logistics of the corporate office to ensure a well-functioning, efficient, and professional environment.
  • Manage vendor relationships, including facilities maintenance, office supplies, security, catering, and service contracts.
  • Maintain inventory, oversee ordering, and supervise service-level agreements to ensure timely delivery of services.
  • Lead space planning efforts, including office seating assignments, moves, maintenance requests, and safety protocols.
  • Coordinate all internal meetings, employee events, and company functions-from planning and logistics to execution.
  • Supervise or coordinate with administrative staff and reception, providing support and setting clear expectations.
  • Monitor and manage office services budget, approve invoices, and track expenditures.
  • Partner with departments across the organization to support cross-functional projects and initiatives.
  • Prepare agendas and take action-oriented meeting notes for leadership meetings, tracking follow-ups as needed.
  • Draft professional communications to internal and external stakeholders on behalf of executive leadership.
  • Represent the executive team in interactions with partners, clients, vendors, and employees.

Qualifications & Skills

  • 7+ years of experience as an Office Manager or Executive Assistant, with at least 2 years in a senior-level or dual-role capacity.
  • Experience managing office operations, services, or facilities including budgets and vendor contracts
  • Strong organizational, problem-solving, and multitasking skills.
  • Excellent written and verbal communication.
  • Discretion with confidential information is a must.
  • Comfortable in a fast-paced, hands-on role supporting top leadership.
