Our Client is seeking a Temporary Executive Assistant / Office Manager to support senior leadership and ensure smooth day-to-day office operations. This is an exciting opportunity to join a growing boutique investment firm The role offers high visibility, a chance to support senior leadership, and potential for a full-time hire.


Title: Temporary Office Manager / Executive Assistant

Client: Confidential Investment Firm

Location: Santa Monica, CA (transitioning to El Segundo in August)

Schedule: Monday-Friday 9:00 AM - 6:00 PM

Work Setup: Hybrid - 4 days onsite, 1 day remote (must be flexible)

Hourly Pay: $35/hour


Main Responsibilities

  • Set up and manage daily office operations and supplies
  • Handle reception duties, packages, pantry orders, and visitor coordination
  • Provide executive support to CIO and several MDs (calendar, travel, expenses)
  • Coordinate domestic and international travel via Concur
  • Complete monthly expense reports and maintain contact lists
  • Provide admin support during client/investor meetings
  • Assist with ad hoc projects and cross-functional admin tasks

Requirements

  • Bachelor's degree required
  • Minimum 3+ years of experience as an EA or Office Manager (ideally in finance)
  • Experience supporting C-level executives
  • Strong background in calendar management, travel, and expense handling
  • Proficiency in Outlook, Microsoft Teams, and familiarity with OneDrive/SharePoint
  • Concur experience preferred (or ability to learn quickly)
  • Ability to multitask, stay organized, and remain flexible in a fast-paced environment
  • Professional, resourceful, and confident handling high-level responsibilities
  • Willingness to wear many hats-from hands-on office ops to high-level admin support
