Executive Administrative Assistant - Commercial Real Estate Management

Our Colorado-based commercial real estate management firm is seeking an Executive Administrative Assistant to support the Director of Operations and the Property Management (Operations) Department. This role is perfect for someone with exceptional administrative skills, a proactive mindset, and the ability to work independently while collaborating with a team.
What You'll Do
- Provide high-level administrative support to the Director of Operations and property management team.
- Manage calendars, coordinate meetings, and schedule appointments efficiently.
- Prepare, format, and proofread documents (correspondence, reports, spreadsheets, presentations) using Microsoft Word, Excel, and Outlook.
- Create and annotate documents/maps with Adobe Acrobat Pro (preferred).
- Process tenant service requests and work orders with accuracy and urgency.
- Maintain and organize tenant, vendor, and building-specific records.
- Support tenant onboarding/offboarding, including key distribution and system updates.
- Liaise with tenants, vendors, and internal teams to ensure responsive communication.
- Conduct property tours and inspections as needed.
- Assist with office operations such as guest reception, mail handling, and supply stocking.
- Monitor team communication threads during business hours via a company-provided or reimbursed phone.
What our client is Looking For
- Minimum 5 years of executive or high-level administrative support experience (ideally in commercial real estate or property management).
- Proficiency in Microsoft Office Suite, with advanced Excel skills preferred.
- Adobe Acrobat Pro experience is a plus.
- Strong written and verbal communication skills.
- Exceptional attention to detail and follow-through.
- Self-motivated, resourceful, and able to work independently.
- Ability to manage multiple priorities professionally and accurately.
- Professional demeanor and a collaborative work ethic.
- Willingness to adjust responsibilities or work overtime based on business needs.
- Successful completion of background and credit checks.
- Full-time, in-office attendance required.
- Business casual attire required.
