Position Overview:
We are seeking an experienced and organized Office Manager to oversee the daily administrative operations of our practice. This is an in-person role. The ideal candidate will ensure the office operates smoothly, supporting both our clinical staff and clients. This Full time position offers a comprehensive benefits package.?
Key Responsibilities:
Administrative Oversight:

Develop and implement office policies and procedures to enhance efficiency.?

Manage patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations.?

Coordinate schedules and appointments for mental health professionals.?

Handle incoming communications, providing timely and accurate information.

Maintain office supplies and equipment, ordering as needed.
Financial Management:

Coordinate with billing service.?

Ensure accurate payment collection and entry.

Reconcile daily charges/collections and make bank deposits.?

Monitor accounts receivable and follow up on unpaid balances.?
Client Relations:

Greet patients and visitors warmly, creating a welcoming environment.?

Assist clients in scheduling appointments, verifying insurance information, and completing necessary paperwork.

Address patient concerns or issues promptly and professionally.?

Manage patient feedback and implement improvements to enhance client satisfaction.?
Compliance and Quality Assurance:

Ensure regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.?

Maintain records, prepare reports, and compose correspondence related to office operations.?

Oversee accurate documentation of client account activity.

Responsible for prior authorizations for medications.
Qualifications:

3-5 years experience in office management or administration, preferably in a healthcare or mental health setting.?

Strong organizational, multitasking, and problem-solving skills.?

Excellent communication and interpersonal abilities.?

Proficiency in relevant software applications, including Electronic Health Records (EHR) systems.?
