Position Overview:

We are seeking an experienced and organized Office Manager to oversee the daily administrative operations of our practice. This is an in-person role. The ideal candidate will ensure the office operates smoothly, supporting both our clinical staff and clients. This Full time position offers a comprehensive benefits package.?

Key Responsibilities:

Administrative Oversight:

  • Develop and implement office policies and procedures to enhance efficiency.?

  • Manage patient records, ensuring accuracy, confidentiality, and compliance with relevant regulations.?

  • Coordinate schedules and appointments for mental health professionals.?

  • Handle incoming communications, providing timely and accurate information.

  • Maintain office supplies and equipment, ordering as needed.

Financial Management:

  • Coordinate with billing service.?

  • Ensure accurate payment collection and entry.

  • Reconcile daily charges/collections and make bank deposits.?

  • Monitor accounts receivable and follow up on unpaid balances.?

Client Relations:

  • Greet patients and visitors warmly, creating a welcoming environment.?

  • Assist clients in scheduling appointments, verifying insurance information, and completing necessary paperwork.

  • Address patient concerns or issues promptly and professionally.?

  • Manage patient feedback and implement improvements to enhance client satisfaction.?

Compliance and Quality Assurance:

  • Ensure regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.?

  • Maintain records, prepare reports, and compose correspondence related to office operations.?

  • Oversee accurate documentation of client account activity.

  • Responsible for prior authorizations for medications.

Qualifications:

  • 3-5 years experience in office management or administration, preferably in a healthcare or mental health setting.?

  • Strong organizational, multitasking, and problem-solving skills.?

  • Excellent communication and interpersonal abilities.?

  • Proficiency in relevant software applications, including Electronic Health Records (EHR) systems.?

  • Ability to work diligently under pressure and provide excellent customer service.?
