Title: Office Manager

Hours: M-F 8 AM to 5 PM

Duties:

  • Must be proficient in QuickBooks
  • Sales & Communication

    • Answer phones & communicate sales leads to appropriate personnel in a timely manner
    • Mail thank-you notes & send Amazon referral gift cards as needed
    • Proof marketing items

    Construction & Legal

    • Annual insurance policy reviews & complete worker's comp audits
    • Vehicle registrations
    • Renew business license and corporate license as needed
    • Maintain and renew leases

    Vendor & Customer Relations

    • Vendor account maintenance
    • Place orders to vendors as requested &/or required
    • Customer account maintenance

    Operations & Maintenance

    • Maintain Zoho CRM system
    • Maintenance of phone & IT system
    • Schedule equipment repairs
    • Receive shipments
    • Office supplies

    Human Resources

    • Perform HR duties (i.e., maintain personnel records)

    Miscellaneous

    • Various and sundry miscellaneous duties and requests
    • Maintain asset list and keep insurance coverage up to date

Requirements:

  • Proven experience in office management or similar role
  • Excellent phone etiquette and communication skills
  • Proficient in using phone systems and other office equipment
  • Strong organizational skills with the ability to multitask effectively
  • Knowledge of service industry is a plus
  • Ability to manage a team and provide leadership
  • Proficient in Microsoft Office Suite and QuickBooks
