Role Description

This is a full-time on-site role for an Office Manager located in La Jolla, CA.


We are seeking a highly organized and proactive Office Manager to join our team. In this role, you will play a critical role in supporting research operations by maintaining office and laboratory systems, coordinating repairs, and working with vendors for new equipment or services. You will also be responsible for coordinating annual safety training and interfacing with regulatory agencies to ensure compliance. Additionally, you will organize international and domestic shipping of samples and materials as requested by the research team.


As the Office Manager, you will act as a point of contact for IT, orchestrating the procurement of new office technology and troubleshooting existing technology problems. You will work with building management to coordinate in-office repairs and disseminate information about building operations to staff. You will also be responsible for the coordination of purchasing new office equipment and furniture for a future move.


Your role will include handling procurement tasks, coordinating payments, and managing various accounting and financial responsibilities, including credit card reconciliations and expense reimbursement. You will work with HR to onboard new employees, coordinate training, and set up new user accounts and computers with IT.


The Office Manager will also be involved in all aspects of meeting and event planning, from weekly lunches to larger off-site events.

Qualifications

  • College degree highly desirable
  • Proficiency with Microsoft Office suite and Quickbooks
  • Ability to multitask and prioritize to-dos
  • Strong organizational skills
  • Strong written and verbal communication skills to interact with employees, vendors, collaborators, and meeting attendees
  • Discretion: successful applicant will be privy to sensitive company information and financials
  • Ensure accuracy in documentation, financial transactions, and other administrative tasks
  • Ability to manage budgets and track expenses
  • Ability to plan and coordinate office projects, such as office moves, events, or technology upgrades
  • Ability to travel domestically and internationally, for up to one week at a time
