Overview:
A well-established industrial equipment company is seeking a dependable and experienced Office Manager to handle a variety of administrative, accounting, and operational responsibilities. This key role ensures the smooth daily functioning of the office while also managing financial workflows, vendor relations, and compliance.
Key Responsibilities:
Accounting & Finance
- Manage day-to-day accounting using Sage 50, including accounts payable, receivable, and reconciliations.
- Process electronic payments and monitor banking activity.
- Prepare financial reports and support monthly/year-end closing procedures.
- Oversee business tax filings and ensure compliance with federal and state regulations.
Administrative & Office Management
- Oversee general office functions and serve as the central point of contact for vendors and internal teams.
- Maintain records for company permits, licenses, and regulatory compliance.
- Provide administrative support to leadership and field personnel as needed.
Payroll & Timekeeping
- Manage employee timekeeping through ADP, ensuring accurate payroll inputs and benefit tracking.
- Assist with employee PTO requests and benefits administration (HSA, IRA).
Operations Support
- Handle order entry and invoicing in coordination with the sales and service teams.
- Manage purchasing of supplies and inventory, working with suppliers to maintain proper stock levels and timelines.
- Coordinate deliveries and follow up on order statuses to ensure timely fulfillment.
Qualifications:
- Minimum 3 years of experience in office management or accounting.
- Proficiency in Sage 50 and ADP platforms is required.
- Strong knowledge of accounting principles, tax preparation, and financial recordkeeping.
- Experience with electronic payments, purchasing, and order entry.
- Familiarity with permitting processes and documentation.
- Highly organized with strong attention to detail.
- Proficient in Microsoft Office (especially Excel and Outlook).
- Excellent written and verbal communication skills.
Preferred Qualifications:
- Associate or Bachelor's degree in Accounting, Business Administration, or related field.
- Experience in a manufacturing or industrial environment.
- Familiarity with ERP systems or inventory software is a plus.
