Overview:

A well-established industrial equipment company is seeking a dependable and experienced Office Manager to handle a variety of administrative, accounting, and operational responsibilities. This key role ensures the smooth daily functioning of the office while also managing financial workflows, vendor relations, and compliance.

Key Responsibilities:

Accounting & Finance

  • Manage day-to-day accounting using Sage 50, including accounts payable, receivable, and reconciliations.
  • Process electronic payments and monitor banking activity.
  • Prepare financial reports and support monthly/year-end closing procedures.
  • Oversee business tax filings and ensure compliance with federal and state regulations.

Administrative & Office Management

  • Oversee general office functions and serve as the central point of contact for vendors and internal teams.
  • Maintain records for company permits, licenses, and regulatory compliance.
  • Provide administrative support to leadership and field personnel as needed.

Payroll & Timekeeping

  • Manage employee timekeeping through ADP, ensuring accurate payroll inputs and benefit tracking.
  • Assist with employee PTO requests and benefits administration (HSA, IRA).

Operations Support

  • Handle order entry and invoicing in coordination with the sales and service teams.
  • Manage purchasing of supplies and inventory, working with suppliers to maintain proper stock levels and timelines.
  • Coordinate deliveries and follow up on order statuses to ensure timely fulfillment.

Qualifications:

  • Minimum 3 years of experience in office management or accounting.
  • Proficiency in Sage 50 and ADP platforms is required.
  • Strong knowledge of accounting principles, tax preparation, and financial recordkeeping.
  • Experience with electronic payments, purchasing, and order entry.
  • Familiarity with permitting processes and documentation.
  • Highly organized with strong attention to detail.
  • Proficient in Microsoft Office (especially Excel and Outlook).
  • Excellent written and verbal communication skills.

Preferred Qualifications:

  • Associate or Bachelor's degree in Accounting, Business Administration, or related field.
  • Experience in a manufacturing or industrial environment.
  • Familiarity with ERP systems or inventory software is a plus.
