A dynamic NYC Real Estate Investment Company is seeking a new Full-Time/Permanent Office Manager/Executive Assistant to join their growing team. This person's time will be divided between executive, administrative, and operational responsibilities with help from the other administrative assistant and through a dynamic and collaborative partnership will take on and execute company initiatives. As Office Manager, this person will manage office administration, supervise the Receptionist, and act as the point person for any office-related inquiries. As Executive Assistant, this person will act as the right hand to two partners, providing heavy calendar management, coordinating meetings, planning and executing company-wide and executive events, and assisting with personal administrative duties as needed. Candidates must have a minimum of 3-5+ years of applicable office management/executive administrative support experience and a Bachelor's degree is required. They should be incredibly polished and professional, high energy/enthusiastic, proactive, adaptable, forward thinking, and possess excellent interpersonal and communication skills and a no task is too big or small mentality. This is a great opportunity for growth with exposure to other fields, including Human Resources, Investor Relations, Event Planning, Marketing & Branding, etc
  • Salary depends on experience (90-120k base), plus discretionary bonus eligibility, full company benefits, etc.
  • Hours are 9:00am-6:00pm. 5 days in office, with flexibility/Summer Fridays.
Responsibilities:
  • Provide high-level executive administrative support to two Partners/founding executives, including scheduling and organizing extensive internal and external meetings, conference/video calls, and appointments, managing and maintaining busy calendars, coordinating complex domestic and international travel arrangements, preparing and processing expense reports, etc.
  • Responsible for office management duties, including supervising Receptionist, ordering office supplies, and ensuring a neat and organized workspace.
  • Serve as the liaison between the office and building maintenance.
  • Plan, organize, and execute company-wide, holiday, and executive events.
  • Assist partners with personal administrative duties, as needed
  • Execute bi-weekly payroll, coordinate employee onboarding/offboarding, new benefits programs, and semi-annual reviews with assistance from HR and IT consultant.
  • Assist with ad hoc projects, including HR, Investor Relations, Event Planning, Marketing & Branding, and Social Media.
Requirements/Qualifications:
  • Minimum 3-5+ years of applicable office management and executive administrative support experience, ideally out of real estate and/or financial services but open to industry.
  • Bachelor's degree required.
  • Polished and professional.
  • Excellent interpersonal and communication skills (both verbal and written).
  • High level of enthusiasm, energy, and creativity; positive attitude.
  • Detail-oriented and happy, professional work style with an independent, intuitive, and self-starting approach who is always adapting and thinking of creative ways to improve processes.
  • Reliable, no drama, punctual, and super organized.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
