The Front Office Manager / Executive Assistant provides vital administrative and executive support to the R2 Logistics office and executive team. This role provides the structure and organization necessary for daily office operations.
Responsibilities:
- Perform work of a confidential nature and appropriately exercise initiative and discretion.
- Oversee building maintenance partnering with the Building Manager, staff, and vendors.
- Order office supplies and maintain appropriate inventory.
- Order and maintain snacks, drinks, and supplies for the break area.
- Maintain Office/Breakroom areas in an organized, clean and professional manner.
- Manage Fridays' office lunch order and happy hour.
- Plan and execute meetings, events, and parties; travel arrangements, catering, hotels, itineraries, and communication.
- Assist managers, supervisors, and executive team in producing reports, forms, letters, and other projects.
- Submit expense reports on a monthly basis, assisting executive team as needed.
- Assist with planning and maintaining budgets.
- Ensure building access protocols are met for R2 employees and visitors, including the distribution of access keys.
- Distribute packages and mail to appropriate parties, and prepare and ship time-sensitive mail.
- Ensure that all assigned projects are completed in a timely and efficient manner and that follow-up is done on all administrative details.
- Greet and direct visitors as needed.
- Some travel required to run errands for Executives and various departments.
Requirements:
- Administrative assistant or office management experience (2 - 4 years preferred)
- Highly proficient in Microsoft Office Suite, Outlook and Concur (preferred)
- Superior organizational skills with strong attention to detail
- Must have the ability to work independently, multi-task, and prioritize projects in a fast-paced environment
- Excellent verbal and written communication skills
