What You'll Do:

We are seeking an experienced Office Manager to oversee the day-to-day operations of our Home Office and ensure seamless administrative support across the organization. The ideal candidate will excel in vendor management, event planning, travel coordination, and cross-departmental collaboration while upholding our core values. This role offers a unique opportunity to contribute to key organizational initiatives, including our high-profile annual clinical conference (ACE).
  • Administrative and Office Management
    • Manage desk and office assignments for the Home Office.
    • Ensure new hires receive necessary computer equipment.
    • Oversee phone setup for new locations and corporate employees.
    • Maintain a professional office environment, including seasonal decorations and lobby upkeep.
  • Travel Management
    • Coordinate travel for employees across the organization.
  • Event Planning and Culture Building
    • Organize on-site and off-site meetings for Executive leadership.
    • Plan and coordinate meeting spaces and meals for DFW quarterly board meetings.
    • Organize culture and team-building events for the Home Office.
    • Serve as chairperson and event planner for the annual clinical conference (ACE), managing project timelines and cross-department collaboration.
  • Vendor and Communication Management
    • Act as the primary point of contact for assigned vendor relationships.
    • Assist with vendor communications and resolve issues promptly.
  • Written Publications and Reporting
    • Prepare written publications, presentations, and reports for Executives and organizational use.
  • Cross-Departmental Collaboration
    • Work closely with multiple departments to ensure the success of organizational projects and events, including ACE.
    • Align teams to meet shared goals and deadlines.
  • Additional Responsibilities
    • Monitor company email inbox and route inquiries appropriately.
    • Manage office supply and IT equipment inventory.
    • Support expense reporting as needed.
    • Perform other duties as assigned.

Qualifications:
  • Bachelor's degree highly preferred.
  • 5+ years of verifiable administrative support or executive assistant experience.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience in creating presentations and reports.
  • Exceptional organizational, analytical, and communication skills.
  • Proven ability to manage multiple priorities with attention to detail.
  • Strong problem-solving and decision-making abilities.
