Position Purpose

The Office Manager and Assistant to the Director serves as part of a dynamic team whose mission is to educate Dartmouth students to be the leaders and changemakers of tomorrow. The Office Manager provides comprehensive, high-level support for the Center for Social Impact and its Director by managing day to day operations, finances, and donor stewardship through an in-depth knowledge and understanding of the department's various programs and priorities.

Required Qualifications - Skills, Knowledge and Abilities
  • At least three years of increasingly responsible office experience in a related field with a high degree of autonomy.
  • Exceptional organizational skills and ability to manage a broad array of tasks with a high degree of autonomy and outstanding attention to detail.
  • Strong understanding of financial reporting, processes, and systems orientation.
  • Excellent technology skills and fluency in computer applications including Microsoft suite.
  • Outstanding written and verbal communication.
  • Strong judgment in working with confidential information.
  • Demonstrated ability to work in a new environment with some degree of ambiguity.
  • Commitment to diversity and to serving the needs of a diverse community.
Preferred Qualifications
  • Bachelor's Degree in Business Administration, Accounting, Finance.
  • Experience working effectively within a complex organization and with diverse stakeholders.
  • Proven ability to serve as a resource and to delegate work.
  • The capability to work independently and collaboratively as a member of a team. Skill to interact with others with tact and diplomacy.

Administrative Support and Office Management -
  • Provides administrative support to the Director, including calendar management, travel arrangements, reimbursements, and project coordination
  • Plans logistics and communications for select meetings and events
  • Manages departmental operations, including IT systems, office supplies, and space usage
  • Supports HR processes and maintains the Salesforce database

Financial Management and Reporting -
  • Assists with developing and monitoring annual budgets
  • Creates financial reports, tracks financial processes and contracts
  • Verifies transactions, manages procurement card use, and processes payments and stipends
  • Ensures compliance with financial policies and procedures
  • Provides financial systems training to staff and students

Description

Gift Recording and Stewardship -
  • Ensures donor funds are used in accordance with intent and policy
  • Prepares donor correspondence and gift acknowledgments
  • Processes and tracks incoming gifts and manages mailing lists
  • Coordinates annual appeals and endowment stewardship reports
