The Caswood Group, Inc., a full-service contract sales organization, is seeking an Office & HR Administrator to support the President and other company personnel in our office in Fairport, NY.

In this role, you will perform administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, word processing, creating spreadsheets and presentations, and filing. Extensive software skills, Internet research abilities and strong communication skills are required.

You will also perform HR activities that include, but are not limited to, assisting in screening candidates and guiding them through the recruitment process, onboarding new hires and working with supervisors if any HR issues arise. Excellent communication skills (written and verbal), attention to detail, flexibility and a positive attitude are required.

Administrative Responsibilities
  • provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • maintain electronic and hard copy filing system
  • open, sort and distribute incoming correspondence
  • perform data entry and scan documents
  • manage calendar for President and other supervisors
  • assist in resolving any administrative problems
  • answer call inquiries
  • prepare and modify documents including correspondence, reports, drafts, memos and emails
  • schedule and coordinate meetings, appointments and travel arrangements for Managers
  • maintain office supplies for department
  • support of various departments: accounting, project managers, sales
HR Responsibilities
  • Organize and maintain personnel records
  • Assist in the recruitment process by screening, testing and gathering required documentation for applicants/new employees.
  • Facilitating employee onboarding - Provides orientation for new employees by providing information packets, reviewing company policies, gathering withholding and other payroll information, explaining benefit programs, and obtaining signatures for documents.
  • Prepare HR documents and tracks human resources actions by completing forms, reports, logs, and records.
  • Revise company policies and update internal databases.
  • Consistently review and stay up-to-date on new State and Federal Guidelines to ensure company's compliance.
Qualifications:
  • Minimum of an Associate's degree required
  • 2+ years of hands-on administrative/HR support experience
  • proficiency in MS Word, MS Excel, MS PowerPoint and MS Outlook a must
  • knowledge of operating standard office equipment
  • excellent communication skills - written and verbal
  • ability to prioritize projects and strong problem-solving skills
  • good research skills and attention to detail
