We're actively looking for an Office Coordinator to join our Miami crew. If you're the kind of person who loves staying organized, keeping things running like clockwork, and bringing positive energy to the workplace-this one's for you. You'll be the go-to for keeping our space efficient, clean, and welcoming. You'll also partner with HR to help plan team bonding events that keep our culture strong


YOUR CORE FOCUS AREAS AND RESPONSIBILITIES WILL BE


Office Coordination & Workplace Experience:

  • Oversee office operations, ensuring a well-maintained and organized workspace.
  • Monitor and restock office supplies as needed.
  • Receive and organize office packages and event-related shipments.
  • Responsible for managing product returns and coordinating donation drop-offs or shipments as needed.
  • Responsible for mail handling, including occasional trips to the post office for drop-offs.
  • Plan and prepare for office events, team gatherings, and holiday celebrations in collaboration with Human Resources.
  • Conduct regular office walkthroughs to check if employees need anything.
  • Maintain a clean and energized office environment, including tidying up common areas and handling trash disposal.
  • Organize office repairs and liaise with IT for equipment needs.
  • Occasionally manage travel arrangements.

What You Need to Succeed

Must-Have Qualifications:

  • Highly organized, detail-oriented, and proactive, with a strong sense of urgency and the ability to anticipate needs and stay two steps ahead.
  • Thrives in a fast-paced environment, demonstrates exceptional follow-through, and takes ownership of tasks with precision and accountability.
  • Must be punctual and reliable.
  • Must be tech-savvy with the ability to quickly learn and navigate new software, tools, and office systems
  • Proven experience in office management, administration, or operations.
  • Proficiency in Microsoft Office (Excel, Outlook) and Google Suite.
  • Excellent verbal and written communication skills.
  • A proactive, problem-solving mindset with strong attention to detail.
  • Ability to work both independently and collaboratively with cross-functional teams.
  • Must be able to lift/carry up to 20 pounds as needed for office supplies, equipment, or event setup.
  • Must have a valid driver's license and reliable access to a personal vehicle for occasional errands and pickups.

Nice-to-Have Qualifications:

  • Background in working for startups or fast-growing brands.
  • Experience handling office machines like printers and fax machines.
