Job DescriptionOpportunity: IOTA Community Schools is seeking an Office Coordinator. The Office Coordinator will work directly with the school admin team to provide administrative support to the school's front office including coordinating key daily activities to ensure stakeholder satisfaction. The OC will own several key processes in ensuring the continuation of a positive school culture and a smooth running school building.
Essential Duties & Responsibilities: - Maintain a welcoming and friendly front office for families and visitors
- Radio control and facilities management
- Provide telephone and in-person visitor support daily
- Support substitute arrival and operational material support (keys, technology, student work, lesson plans, rosters, etc.)
- Manage visitor check-in and student check-out procedures
- Ensure functional copy machines, printers, scanners; contact technicians if needed
- Maintain immaculate student files and records in accordance with federal and school-based policies, as well as audit guidelines to ensure all records are up-to-date
- Support Student Information System, attendance, and truancy process
- Ensures confidentiality with student files
- Manage the submission of facility related issues (i.e. work orders, custodial support, vendors on-site support, etc.)
- Support annual new student recruitment and enrollment processes
- Ensure new students have submitted all required documentation such as emergency cards, immunization, etc.
- Coordinate with appropriate SPED and EL staff when enrolling new students
- Enter enrollment data, updates student info and processes student data for exits.
- Request information from previous schools for student records and transcript requests.
- Provide translation as needed
- Ensure compliances requirements are completed on time
- Additional duties as assigned.
Key Performance Metrics: - 100 percent of SchoolMint files meet audit requirements
- 100 percent of PowerSchool errors resolved by deadline
- New student transcripts/records received and entered within 30 days of enrollment
- 100 percent of students exited follow the processes as outlined
- 85 percent of visitors report positive satisfaction with office visit or call
- 100 percent of authorizer compliance requests met on-time
Qualifications - Commitment to the mission of IOTA Community Schools
- A minimum of 1 year in an administrative support capacity in an office environment is preferred
- Prior experience within a school setting is desired
- Bilingual in Spanish required
- Excellent interpersonal and communication skills (written and oral)
- Proficient in MS Word, PowerPoint and Outlook, comfortable learning new computer programs
- Ability to multi-task and perform well under pressure
- Ability to maintain a positive, "can-do" attitude at all times
- High level of personal responsibility and drive toward ambitious goals

- High School Diploma or equivalent required, bachelor's degree from an accredited college or university preferred
Additional Information The pay for this position will be $23 per hour for non-Spanish speakers and $25 per hour for native-level Spanish speakers as translation responsibilities will be taken into consideration.
