Office Assistant/Receptionist to join our Nashville office.
Key Responsibilities: - Answer phone calls and route callers to the appropriate attorney or business professional.
- Greet all clients and visitors to the office and direct guests to conference rooms or other areas.
- Maintain conference center schedule using web-based software and communicate schedule information accurately.
- Coordinate with support staff to arrange technical support for presentations, videoconferences and other needs.
- Coordinate with hospitality staff to arrange for catering and beverage setup.
- Arrange for catering with outside vendors, and review and process catering invoices for payment.
- Support the administrative needs of attorneys and clients in the conference center.
- Provide general legal administrative assistance as needed, such as copying, scanning, assembling files, making travel arrangements, submitting expense reimbursements, attorney time entry and other routine tasks.
- Maintain accurate parking validation and visitor logs.
Job Requirements: - Some college preferred, or equivalent combination of education, training, and experience.
- Previous law firm experience preferred.
- Computer proficiency, preferably with Microsoft Office products such as Word, Excel, and Outlook.
- Ability to retrieve and distribute files weighing up to 40 pounds and ability to retrieve and replace objects from shelves up to 8 feet high, sometimes a large amount in a day.
- Ability to operate office equipment including personal computer, photocopier, scanner and fax machines.
- Excellent verbal and written communication skills.
- Exemplary organization and attention to detail skills, and ability to multi-task.
