Overview The Office Assistant provides essential administrative support to ensure efficient operation of the Tillamook Hampton office. This role involves handling a variety of tasks, such as managing communications, organizing files, scheduling meetings, and assisting colleagues. As an Office Assistant, you will report directly to the Human Resources Manager. This position will also work closely with plant supervisors, varying committees including both supervisory and hourly employees. Administrative/Clerical experience is preferred. The ideal candidate will excel in multitasking within a fast-paced environment while handling sensitive information discreetly. As well as, be highly organized, detail-oriented, and capable of independent work. PTO is available for all eligible employees. Responsibilities Understand and comply with Company policies, safety rules, and procedures. Represent the HR department in meetings when needed, such as PAC, safety, and interviews. Assist in scheduling and tracking annual safety trainings. Assist with new hire packets, handbooks, and participate in new hire orientations and onboarding. Assist with direct hiring tasks as needed- Both internal and external postings. This may include pre-screening tasks, scheduling interviews, background verifications. Maintain the scanning and filing of personnel records, including but not limited to disciplinary actions, payroll information, personnel changes, performance reviews and any other needed documentation. Assist with FMLA/OFLA, PLO and Short-Term Disability requests. Assist in maintaining company bulletin boards, including but not limited to required posting and informational postings. Assist in the facilitation, and where needed, distribution of items needed for employee recognition Assist HR Manager with tasks and projects as needed. Will be responsible for plant site daily production reports. Responsible for depositing and managing Oregon cash/receipts. Will maintain a high level of confidentiality in the role. Other assignments as needed. Qualifications Required working knowledge and proficiency in MS Office systems, including Excel, Word, and Outlook Strong professional work ethic, sense of commitment, team-oriented and customer focused Ability and willingness to embrace change and support others in the process for continuous improvement. Organizational and communication skills (verbal and written) plus the ability to handle multiple projects and deadlines required. Detail oriented with good critical thinking skills. Trustworthy, honest and straightforward with the ability to motivate, face conflict, and resolve issues in a positive manner. Ability to identify and stay focused on business priorities in a fast-paced environment Self-starter with the ability to accept responsibility.
