What You'll Be Doing
As a Office Assistant, you'll ensure that every transcript and exhibit meets the highest standards of quality and professionalism. Your daily responsibilities will include:
- Quality Control: Review transcripts and exhibits to ensure accuracy and professionalism.
- E-Filing Processes: Manage court reporting e-filing tasks, including filing certifications with court clerks.
- Virtual Deposition Support: Schedule and create video conference deposition links using Zoom and Microsoft Teams, monitor remote depositions, and act as a videographer when needed.
- Exhibit Management: Collect, organize, and prepare exhibits for deposition transcripts.
- Database Updates: Maintain detailed records in the database, ensuring all tasks are tracked and up-to-date.
- Final Review: Confirm the accuracy and presentation of all final documents before delivery.
- Procedure Development: Assist in creating and updating internal procedures for court reporting.
- Client Communication: Interact with clients professionally via phone and email to provide updates and address inquiries.
- Court Reporter Coordination: Ensure timely delivery of transcripts by maintaining communication with court reporters.
Additional Responsibilities
You'll also take on special projects and other tasks as needed, contributing to the success of the entire team.
What We're Looking For
We're seeking someone with the following qualifications:
- A high school diploma (some college is a bonus).
- At least one year of legal experience, with a solid understanding of case styles and party information.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
- Excellent communication skills and a professional demeanor.
- Comfort with technology, including video conferencing platforms and database management.
