POSITIONSUMMARY:
Highly skilled and responsible workrequiring flexibility, autonomy, initiative and judgment, and the maintenance ofconfidential and sensitive information. The Office Assistant III position directly supportsthree programs and their respective faculty. Additionally, the individual in this position also provides assistancein department level matters.
DUTIES AND RESPONSIBILITIES:
Assiststhe Program Director(s) with all program matters. Assists with other support roles when deemednecessary by the Chair of the Department of Instruction and Leadership inEducation.
Assistsstudents in all matters including registration and graduation application;advise on university policies and procedures; assist students in completinguniversity forms; liaise with Office of International Programs.
AssistsDirector of Enrollment in matters including keeping accurate enrollmentcriteria; assisting in enrollment initiatives; remaining appraised of currentenrollment data; connecting Enrollment Office with appropriate faculty forevents and student retention efforts.
Managescourse schedule by liaising with Director to project registration numbers andplan course offerings each semester and maintaining solid understanding offaculty workload throughout the year.
Slate-communicateswith applicants about requirements and maintain accurate records from initialinquiry through acceptance and graduation, follow up with applicants on missingmaterials, respond to applicant inquiries/questions via email and phone, createapplicant files); track web app reports and graduate reports; follow up withstudents for deposits; represent the program at Graduate Studies Councilmeetings.
Workswith the department to maintain accurate data in the JED student informationsystem and uphold yearly data collection and various reports for accreditation.
Performsadministrative and office support activities for multiple professors. Duties will include fielding email andtelephone calls, scheduling and creating meetings, as well as receiving anddirecting students.
Documentsand distributes minutes from each program's meetings, keeping detailed andorganized records in Box.
Managementof procurement card and related purchases, including monthly reports.
Serves asliaison between students, alumni, graduate assistants/student aides and facultymembers including making necessary connections, managing schedules, duties, andspecial projects.
Remainsappraised of changes to University systems and software; regularly learns,synthesizes, and informs faculty of new systems and technologies.
Plans andexecutes individual and recurring events by managing the scheduling, catering,room reservations, and invitations.
Takesinitiative in identifying areas of need, formulating and executing effectivesolutions and systems as needed.
Communicatesclearly and regularly with Program Director(s) and faculty to ensure efficiencyand effectiveness of department functioning.
Completes otherduties as assigned.
REQUIREMENTS:
Minimum qualifications:
The successful candidatewill have earned a high school diploma.
Successfulcandidates will have strong attention to detail; excellent oral and writtencommunication skills; outstanding organizational and interpersonal skills;experience using Microsoft Word, Excel, PowerPoint, Access, Adobe, and othersoftware packages; willingness and ability to learn new technologies relevantto the position; ability to work in a complex environment; excellent rapportwith people; commitment to customer service and to the educational developmentof students; and the ability to establish and maintain effective workingrelationships with the University Community.
Preferred qualifications:
Associate's Degree from an accreditedinstitution and 5 years of experience preferred.
Alternately, the successful candidate may possess any equivalent combination ofexperience and training, which provides the knowledge, skills and abilitiesrequired to perform the essential job functions. This includes, but is notlimited to, the following:
