Position Summary
Office Assistant 3 position delivers a variety of support services to students, faculty, and members of the community who utilize Basic Skills, Master of Achievers (MAC) and Workforce Education services. This position demands a commitment to excellent student-centered service and an ability to communicate effectively with English Learners, immigrants, refugees, and historically marginalized communities. This position reports to the Director of Workforce Education.
ABOUT THE COLLEGE:

Green River College's student body is made up of approximately 41% Academic Transfer students, 34% Professional-Technical students, 15% Adult Basic Education student, and 3% Applied Bachelor degrees. Green River College has four campuses, including the main campus in Auburn, Washington, with satellite campuses in Kent, downtown Auburn, and Enumclaw. Green River programs serve high school graduates, Running Start students (dual enrollment in local high schools and the college), those seeking retraining for the workforce, international students, students learning English, and Continuing Education students. Green River's service areas are increasingly ethnically diverse, comprising African Americans, African immigrants, Asian Americans, Asians, Latinx, Native Americans, Pacific Islanders, and Middle Eastern Americans, among other communities.

Position Responsibilities

Customer Service:
  • Manage and support the front desk, ensuring a welcoming environment for students and visitors to Green River College through engaging, caring, anti-racist, and trauma-informed practices.
  • Provide direct customer service through various formats including virtual, email, phone, and in-person with excellent customer service skills focused on bringing racial equity and social justice equity lens.
  • Greet and screen to connect with relevant services.
  • Provide potential and current students with program information and if needed schedule appointment by utilizing available technology.
  • Troubleshoot various student issues that come up at front desk and help seek to find solutions
Front Desk:
  • Ensure front desk area is clean and organized
  • Receive, distribute, prepare mail and shipments
  • Open, sort and distribute incoming correspondence
  • Order, receive and maintain office inventory
Data/Reporting:
  • Enter and retrieve data; generate reports, correspondence, and documents
  • Maintain complex reporting using various database and software.
Qualifications

MINIMUM QUALIFICATIONS:
  • High school graduate or equivalent
  • Excellent Customer service skills
  • Exhibit professionalism, punctuality, reliability, and strong work ethic
  • Highly organized and detail-oriented with ability to manage tasks with multiple interruptions
  • Able to cultivate a positive and inclusive environment by fostering open communication and interacting effectively with a diverse population of colleagues, staff, faculty, students, and others in a courteous, respectful and professional manner
  • Demonstrated experience with persons from diverse backgrounds and a commitment to an inclusive and equitable working / learning environment.
  • Ability to appropriately handle sensitive information, maintain confidentiality, think critically and exercise independent judgment, and maintain compliance with FERPA regulations
  • Proficiency using a variety of software including Microsoft Windows, Office 365, Outlook, Word, Excel, MS Teams, SharePoint, Zoom and Adobe, specifically experience creating & editing documents, reports and spreadsheets.
  • Other duties as assigned
PREFFERED QUALIFICATIONS:
  • Two years of increasingly responsible office experience
  • Experience with, or knowledge of, Workforce programs including WorkFirst, BFE&T, Opportunity Grant, and Worker Retraining
  • Ability to speak a regionally top spoken language other than English (Spanish, Russian, Ukrainian, Somali, Arabic, Dari, Persian, Turkish).
