Office Assistant II to support the Office of Student Services.

What You'll DoServe as support for Student Services operations: - Performs a variety of routine clerical duties such as processing documents and records, extracting and compiling records or data, responding to routine inquiries concerning office/departmental services and procedures, maintaining and monitoring established record-keeping, filing, and database systems, and producing forms, letters, record entries, and other material.
- Duties and assignments are routine. Routine duties are recurring and accomplished by following established work methods or procedures. Within established guidelines, independently organizes, prioritizes, and initiates work activities. Guidance is provided in new or unusual situations. Deviation from established methods, procedures, or guidelines requires approval. Work is periodically reviewed to ensure compliance with relevant policies, procedures, and standards.
- Office Functions:
- Keyboards/types of office forms, envelopes, labels, and index tabs;
- Photocopies and collates material;
- Performs basic arithmetic such as addition, subtraction, multiplication, and division;
- Posts information from various departments according to established procedures and standards; tabulates and posts report forms;
- Operates a variety of office equipment such as computer/word processor and associated software, calculator, document imaging, printers, multi-line phone system, and copy machine;
- Enters and retrieves data from electronic data processing systems; establishes and updates information; generates documents and correspondence; communicates with others via electronic means; updates computer system files;
- Opens and date-stamps incoming mail; learns to sort and route mail; picks up and prepares outgoing mail; learns to maintain logs, lists, rosters, directories, and other records;
- Performs other duties as required.
Additional: - Supports the Office of Student Services in a variety of functions, including: Phi Theta Kappa Honor Society support; organizing and maintaining employee spaces, planning, managing, and coordinating events; preparing and sending quarterly President's and Vice President's list certificates; and ordering/purchasing of supplies and materials.
Qualifications You PossessMinimum Qualifications: - High school graduation or equivalent AND two years of progressively responsible experience in office, clerical, or administrative work; formal education will substitute year-for-year for experience
- Excellent written and verbal communication skills, including good listening skills
- Ability to communicate and present oneself in a professional manner
- Ability to work well with others and function as a team member
- Strong organizational skills, ability to work independently and prioritize multiple tasks, work under pressure, meet deadlines and accommodate numerous interruptions while performing multiple tasks
