Role Office Administrator
Location Stoughton WI
Full Time permanent.
Job Summary:
- The main job of the Office Administrator is (internal and External) client service.
- In charge of communications and relaying information
- In charge of the phone lines (incoming and outgoing) as well as routing calls and taking messages as needed
- Manage Day to Day Administrative tasks such as purchasing supplies, mail sorting from carriers such as USPS, DHL, FedEx, etc.
- Organization of the work environment and striving for its continuous improvement(organization / cleanliness / health and safety)
- Manage time, appointments and meeting rooms.
Key Responsibilities:
- Maintain office services by designing filing systems.
- Monitor office supplies inventory and refresh as needed, continuously audit suppliers to get the best prices in the market.
- Receive visitors, answers telephone/voicemail, provides information as required.
- Prepare for company meetings by setting up the meeting rooms (projectors, drinks, snacks, etc.) to represent the company image and offer the visitors a positive experience.
- Expedite, Receive, sort, process Post and parcels, special samples or any other mailing tasks.
- Assist the planning and implementation in coordination with HR Department for dinners, parties and special celebrations.
- Assist with Onboarding when required.
- Willingly embraces change and assist management in achieving the company's process improvement goals.
- Coordinate with the General Manager regarding office cleanliness and upkeep. Follows up on office maintenance issues.
- Provide general office support to all site personnel.
- Other Administrative tasks as required by direct management.
Qualifications:
- Education: minimum High School Diploma.
- Two years of experience in an administrative capacity.
- Comfortable with office equipment such as computers, printers, etc. and with software such as Microsoft Office.
- Good oral and written communication.
- Comfortable speaking in public.
- Positive attitude and personable.
- Patient and service focused.
- Able to work flexible hours to accommodate operating needs.
- Organized and detail oriented.
- Self-learner and willing to learn and implement new ideas.
- Comfortable with asking questions, taking directions and working independently.
