Job Summary:


Safford Motley PLC is a transactional law firm founded in 2009 specializing in music and outside corporate general counsel work. Our firm is seeking a full-time on-site Office Administrator. In this role, you will provide comprehensive administrative support to the firm's staff of attorneys and paralegals to ensure smooth operation of the office as well as being on the front lines of client and industry engagement.


Essential Job Functions:


  • Become a subject matter expert on client billing and manage the monthly client billing process, including review for accuracy and consistency
  • Facilitate document execution process and ensure all documents are executed in a timely manner
  • Draft and submit Letters of Direction to SoundExchange and perform other agreement administrative tasks as requested
  • Manage digital filing system and ensure all company training and informational documents are kept up to date
  • Oversee and facilitate all elements required to run an office including ordering and management of office supplies, facilitating mail deliveries, coordination with IT and other outside vendors, etc.
  • Handle executive assistant responsibilities for attorneys and paralegals including calendar management and appointment scheduling
  • Maintain attorney and staff professional memberships
  • Support firm's client and industry engagement efforts and work with team to implement strategic engagement strategies
  • Maintain company website and social media accounts
  • Perform other business and legal support tasks as requested

Required Qualifications:


  • Excellent organizational and communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to multitask and prioritize tasks effectively
  • Strong attention to detail and problem-solving skills with a passion for process efficiency
  • Previous experience in an office administration role is a plus
  • High school diploma or equivalent; additional certification in Office Management is a plus
