Our client, one of the largest construction sub contractors in Texas, is looking to add an Office Administrator will play a critical role in supporting regional initiatives and the divisional leadership team. This position is responsible for streamlining administrative operations, ensuring effective coordination across multiple stakeholders, and maintaining the overall efficiency of the divisional office. The ideal candidate is proactive, detail-oriented, and experienced in managing administrative systems within a dynamic and collaborative environment.
What YOU get to DO in this essential role:
- Manage daily administrative functions including record-keeping, filing, and data management.
- Provide dedicated administrative support to division leadership, project managers, and field personnel.
- Act as a liaison between internal teams, subcontractors, vendors, and clients for scheduling and communication needs.
- Coordinate and schedule meetings, appointments, and conference calls; take detailed meeting minutes as required.
- Maintain inventory of office supplies and ensure functionality of office equipment.
- Support project data entry in project management systems (e.g., Patriot Link).
- Prepare and distribute both regular and ad hoc reports as requested.
- Handle inbound and outbound mail, email, and phone communications.
- Assist with document control to ensure compliance with internal and industry standards.
- Organize both physical and digital project documentation for easy access and reference.
What you NEED to SUCCEED in this supportive role:
- Associate's or Bachelor's degree in Business Administration, Accounting, or related field preferred.
- Minimum of 3 years of experience in office management or administrative support roles.
- Excellent attention to detail and time management skills.
- Strong problem-solving abilities with a high level of technical and analytical capacity.
- Effective communication skills-both written and verbal.
- Proficiency in Microsoft Office Suite, with emphasis on Excel.
- Experience working in the construction industry or with general contractors, engineers, or architects preferred.
- Ability to adapt, prioritize tasks, and manage multiple responsibilities simultaneously.
