Direct Hire


Pay: $50K - $55K annually

Hours: Monday - Friday, 8:00 AM - 5:00 PM (hybrid flexibility) must live in the Greater Houston area to be considered

Job Purpose

The Office Assistant provides essential support to the HR and Operations Coordinator by handling daily administrative tasks, keeping the office organized, and assisting with employee engagement activities. This role also helps manage corporate housing to ensure accommodations are properly maintained and available when needed. Additionally, the Office Assistant takes on various

errands to support business operations. By keeping everything running smoothly, this position helps create an efficient and welcoming work environment that allows employees to stay focused on their responsibilities.

Core Responsibilities:
  • Handle incoming and outgoing office communications, including phone calls, emails, mail, packages, and voicemails.
  • Prepare, edit, and proofread documents for HR, Legal, Admin, and Marketing teams as needed.
  • Monitor office supply levels and place orders to ensure smooth daily operations.
  • Serve as the main point of contact for vendors, maintaining professional relationships and coordinating services.
  • Oversee office cleanliness, organization, and décor to maintain a professional and welcoming environment.
  • Support employee engagement efforts by assisting with planning company events, trips, and social gatherings.
  • Liaise with state unemployment agencies and other government entities to support HR-related documentation and compliance when required.
  • Assist with distributing and collecting company assets as needed.
  • Coordinate the purchase and distribution of employee gifts, hampers, and other recognition items
  • Ensure office notices and announcements are posted and maintained as required
  • Assist the Finance team with bank deposits and other financial tasks as needed
  • Welcome and assist visitors, clients, and solicitors to ensure a positive office experience
  • Help facilitate office activities and maintain a well-organized, efficient workspace
  • Support HR & Operation Coordinator by coordinating cleaning, repairs, and supply restocking as needed
Requirements:
  • Proven experience as an Office Assistant or in a similar administrative role.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Familiarity with office management procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience in legal office administration is a plus.
  • High school diploma required; a Bachelor's degree in Office Administration, Business, or a related field is preferred, but not required.
