Job Summary Job Description This position exists to serve as an assistant to Executive Staff (i.e. Vice President of Administration) in regards to communications, purchasing, day to day operations, and project management. In addition, this position provides administrative assistance for the Director of Facilities Planning and Management, Director of Business Services, Director of Safety and Security and the Chief Information Officer. This position requires a broad knowledge of programs, procedures, and policies to maintain the Administrative Affairs Division non-salary budget and purchase order control system. Where there are decisions required outside of policy and procedure, this position can independently form solutions.
Salary Range: $23.76-$32.06 per hour Minimum Qualifications - Must have demonstrated advanced knowledge of relevant software such as Microsoft Office-Word, Excel, PowerPoint, and Outlook sufficient to create and communicate effectively with internal and external customers.
- Accounting/budgeting/expense reporting sufficient to reconcile differences between invoices, receipts and purchase orders.
- Demonstrated organizational skills sufficient to plan and multi-task multiple and organizational wide initiatives.
- Customer service skills to provide prompt, courteous and accurate information to customers in person, on the phone, virtually and through email.
- Ability to interpret, develop and/or implement administrative and program policies, procedures and service standards in cooperation with management.
Preferred Qualifications - Associate's Degree in Administrative Assistant or similar field, or equivalent work experience.
- Previous experience providing executive level office support.
- Experience working in a higher education setting, particularly experience at a Minnesota State College and University campus.
- Knowledge and understanding of the College's organization, goals, policies and procedures.
- Knowledge of and interest in diverse cultures and populations. Experience with and sensitivity to individuals from diverse backgrounds.
Other Requirements In accordance with the Minnesota State Colleges & Universities (Minnesota State) Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
