Job Description - Essential Functions + Duties
The Office Administrator is responsible for the smooth operation of the company by providing prompt and efficient service to team members, clients and stakeholders, able to proactively problem solve, seek to help others and offer assistance whenever necessary. Successful candidates should possess excellent organizational skills, ability to efficiently multi-task, and have consistent follow-through.
Essential Job Functions:
Office Management - Provide day-to-day support to clients and staff, including maintaining calendars and contacts, arranging & supporting meetings, ordering office supplies and maintaining stock and inventory of supplies, (including kitchen and bathroom stock) and coordinate work orders with vendors and property managers to schedule repairs or maintenance when necessary.
Managing front desk-Open and close office according to established procedures, receive guests and answer multi-line phone.
Administrative Support - Making travel arrangements, coordinating personal errands, data entry and coordinating Team Member and company-wide events.
Communication Management - Open, sort, scan or distribute incoming correspondence, including mail, deliveries, faxes and emails.
Client Concierge Services: Run errands, courier, mail, and bank services.
Project Support - Assist with special projects working with management, marketing, and Human Resources, IT, including internal marketing and sales support, database management, mail campaigns and coordination of on-site and off-site event/meetings.
Software Skills
The following software systems are used frequently, and experience is preferred:
- Microsoft Office
- QuickBooks Desktop
- QuickBooks Online
Skillsets and Recommended Requirements
We are looking for a candidate who can develop strong relationships through proactive communication,
contribute to a collaborative team environment, and by identifying potential obstacles and possible solutions. Here are the primary skillsets and characteristics a successful candidate will possess:
- At least 2 years' experience with front-facing customer service or administrative support experience in an office environment
- Ability to work independently
- Acclimates well to change and evolves with growing company needs
- Ability to manage tasks and meet deadlines
- Strong attention to detail
- Excellent communication skills with solid interpersonal skills
- Intermediate to advanced computer skills working with various office equipment, computers and programs including databases, Word, Outlook, PowerPoint, and Excel
