Position: Night Auditor
Reports to: Guest Relations Manager
Job Summary: Responsible for completing the Night Audit process of the operation which consists of balancing accounts, retrace errors and ensure proper postings during the overnight shift. Other tasks and duties will include greeting and welcoming guests upon arrival. Register guests into the computer, verifying registration, address, and credit information. Answer internal and external phone calls. Accept payment for guests accounts both at time of registration and check out. Maintain a house bank and make a deposit and accurate report of receipts daily. Cash checks and exchange currency for guests if applicable. Issue key to and control entrance of safety deposit boxes.
Essential Functions:
- Required to be able to work varying schedules from time to time. All employees are required to attend all scheduled training and departmental sessions.
- Arrive in assigned work area on time in full, clean pressed assigned uniform for scheduled shift.
- Perform and complete any and all assigned tasks by management.
- Be totally familiar with hotel operations/locations and be able to direct guest and answer guest questions of general facility.
- Must be able to speak, read and write English.
- Must have previous guest service experience in a professional work environment.
- Must have knowledge of night audit and front desk operations and general accounting procedures.
- Must be able to follow the cash handling policy.
- Must be able to stand and/or sit for extended periods of time up to an eight (8) hour shift.
- Must have a flexible schedule and be able to work weekends and holidays.
- Must be able to lift up to 50 lbs.
- Requires manual dexterity to use and operate all necessary equipment.
- Must be able to bend, stoop, squat and stretch.
- Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, listening and hearing ability and visual acuity.
- Must have computer knowledge and understanding.
- Must be able to perform Bell position, Room Service job duties, Valet duties, Housekeeping delivery duties and Guest Service Agent.
- May have light cleaning responsibilities.
- Understand all security procedures and emergency equipment.
- Inform managers of all exceptional actions of guest service by fellow employees.
- Inform managers of any suspicious persons or activities.
- Use guest name at all times once known.
Ability to:
- Communicate in English in a clear, concise, grammatically correct, pleasant and sincere manner.
- Understand requests and correctly, creatively and expediently carry them out.
- Be outgoing, friendly and patient even after working long hours.
- Handle multiple requests with poise, accuracy and timeliness.

- Use good judgment at all times.
- Work long hours when necessary and be flexible with schedule. Be able to work weekends and nights and holidays as necessary.
- Must be able to work 11PM to 7AM
- Must be able to execute Front Desk Shift A checklist, Front Desk Shift B checklist, PBX SOP and Night Auditor checklist (see attached)
- Confirm sell status for the day
- Be able to execute all concierge duties as outlined on Front Desk SOP's
- Perform all GSA duties
- Turn off music, lock all appropriate doors
- Count all banks, two up front ($250 each), two in back office ($500 each), ski tickets if appropriate
- Review check out, ensure payments match final balance
- Record total daily amount of credit card purchases and deposits
- Verify credit cards by adding all outstanding credit cards that have not been deposited
- Record all direct billings for the day
- Ensure each direct bill has a reference number for tracking payments to invoices removed from accounts receivable
- Verify direct billings by adding all individual outstanding ledger balances
- Verify advance deposits on future reservations
- Post all charges to each guest account
- Run all required reports on the property management system
- Close out day's activities
- Prepare Room Revenue Report according to night auditor procedures. Copy completed report and distribute
- Prepare Daily Revenue Report according to night auditor procedures. Copy completed report & distribute
- Each night the auditor is responsible for balancing the charges reflected on the call accounting end of day report the total charges actually posted on the property management systems end of day report. Any discrepancies must be reconciled prior to closing the day's work
- Prepare AM room status report
- Ensure guest problem resolution & follow through
- Post signage at banquet rooms for upcoming day's events, post schedule of events at desk
