New Business Coordinator Job Description

Mason Interactive seeks a proactive New Business Coordinator to support client acquisition and sales operations in our fast-paced digital marketing agency. This entry-level role focuses on CRM management, proposal development, and sales enablement tools.

Key Responsibilities

Client Acquisition Support
  • Manage HubSpot deal flows, ensuring data hygiene and accurate pipeline tracking1
  • Conduct daily manual outreach to 5-10 brands via email/LinkedIn campaigns
  • Build prospect lists in Apollo.io and maintain CRM updates
  • Prepare cost proposals, contracts, and RFP submissions (monitoring portals like Ratti Report/Everything PR)
Data & Process Management
  • Track email addendums, portal registrations, and submission requirements
  • Update boards for internal marketing campaigns
  • Organize sales documentation and notarize agreements
Content & Reporting
  • Create intro decks, gap analyses, and Resonate audience activation strategies
  • Repurpose LinkedIn posts/internal blogs into whitepapers, one-pagers, and social media content
  • Publish monthly New Client Alert blogs and performance update reports
  • Assist with Quarterly Business Reviews (QBRs)
Team Collaboration
  • Train summer interns on sales processes/tools
  • Collaborate with Operations team on industry trend analysis
Qualifications
  • 1+ years in sales ops, digital marketing, or agency environments
  • Proficiency in HubSpot, Apollo.io, and Breef
  • Strong writing skills for RFPs/blog repurposing
  • Detail-oriented with ability to manage competing priorities
