The VNA Meals on Wheels Front Office Coordinator responsibilities will include greeting and directing visitors who come to the building, providing support services to the Meals on Wheels program by answering a multi-line phone system, processing, and fulfilling supply requests, processing referrals for Meals on Wheels clients, providing administrative support for various projects, and handling other administrative duties as assigned. This is not a hybrid or remote position. This position is a M-F, in-office position.

Essential Duties
1. Greet, check-in, and direct visitors who come to the building.
2. Answer multi-line phone system, and direct calls to appropriate team members for action.
3. Maintain inventory of office supplies.
4. Process and fulfill supply requests.
5. Manage incoming and outgoing correspondence.
6. Provide administrative support for various projects.
7. Works with internal and external customers to achieve timely and friendly customer-centered delivery of services.
8. Other duties as assigned.

Other Functions
1. Delivers meals to clients as needed by the program.

Qualifications, Skills, and Abilities
1. High school diploma or equivalent required.
2. Two (2) years or more previous experience in a customer service environment or business office.
3. Excellent communication and interpersonal skills.
4. Expert customer service skills to effectively manage customer relationships.
5. Knowledge of Meals on Wheels program and community resources to interpret and apply practical measures to meet customer needs (preferred).
6. Demonstrates proficiency with Microsoft Office applications (Outlook, Excel, and Word).
7. Ability to relate cooperatively to clients, volunteers, and staff of various professional backgrounds.
8. Detailed oriented with ability to organize and prioritize workload.
9. Fluency in Spanish is helpful.
10. Demonstrates the characteristics of courtesy, honesty, and integrity necessary to meet customer service expectations.
11. Previous volunteer experience, preferably in a health care or nonprofit environment (preferred).

Special Requirements

1. Valid Texas Driver's License required.

2. Proof of valid Texas Automobile Liability Insurance required.

3. Automobile or access to an automobile in good working condition.

Continuing Education Requirement

VNA required annual training (through Relias, or other approved programs).

Working Conditions

1. Environmental Conditions/Hazardous Exposure: driving within 50+ mile radius; contingent upon current weather conditions.

2. Hazardous Exposure: minimal exposure.

3. Physical Effort: minimal.

4. In VNA office: good.

Physical Demands

1. Capacity to lift up to 25 pounds occasionally.

2. Must be able to walk, stand, sit for extended periods, and enter sites without disability access.

3. Clerical and administrative work requiring vision.

4. Manual dexterity to operate office equipment (computer, copier, fax, etc.).

Level of Supervision
