Middle School Office Secretary
Job Summary:
The Middle School Office Secretary plays a key role in ensuring the smooth operation of the school office. This individual will manage daily office activities, assist with student and parent inquiries, handle communications, and provide administrative support to the school leadership team. This position is often the primary contact for parents with daily communications and is the face and voice of Brooklyn Middle School.
- This position is a 40 hour per week position
- Scheduled Hours: 8:15 am - 4:15 pm
- Salary: as outlined in the local 1303 contract
Key Responsibilities:
- Answer phones, greet visitors, and manage general office communications
- Maintain student records and files, ensuring confidentiality and accuracy
- Assist with attendance tracking, reporting and tardy arrivals and dismissals
- Manage all documentation required for proof of residency and new enrollments of students
- Manage school calendars, appointments, and meetings
- Share approved notices with families through School Messenger
- Support the school principal and staff with clerical and administrative tasks
- Support with finding proper coverage of staff for meetings or absences
- Assist in the coordination of events, activities, and meetings
- Handle student drop-offs and pickups, ensuring safety and proper documentation
- Order and maintain office supplies throughout the year in addition to ordering supplies for staff over the summer for then new school year
- Provide support during any school emergencies as outlined through school safety protocols
- Assist with high school transition of student records
- Knowledge of iVisions to enter purchase orders and ensure that budgets are being utilized appropriately
- Knowledge of PSIS to maintain accurate records regarding staff and students with the State of Connecticut
- Perform other duties as assigned by school leadership
Qualifications:
- High school diploma or equivalent; some college education preferred
- Previous office or clerical experience, ideally in a school or educational setting
- Strong communication and interpersonal skills
- Attention to details is essential in reporting and records to ensure that all details are accurate
- Knowledge of scheduling and proficiency with Powerschool including quarterly student report cards and communicating access home to families.
- Experience with state reporting including: TCS, Summer Roll Up and Civil Rights Data report
- Proficiency with Google Suite including Google Docs, Sheets and Forms
- Ability to multitask and stay organized in a fast-paced environment
- Experience working with children and a passion for education
- Ability to maintain confidentiality and demonstrate professionalism
