Job Title: Middle School High School Secretary Job Location: Countryside Academy Middle/High School
Reports to: School Principal or Administrator
Job Summary: The school secretary is responsible for providing administrative support to the school, maintaining communication with staff, students, and parents, and ensuring the smooth operation of day-to-day office functions. This role requires excellent organizational, communication, and customer service skills to manage a variety of tasks efficiently.
Key Responsibilities: - Administrative Support: Provide administrative assistance to school leadership, teachers, and staff. This includes handling correspondence, scheduling meetings, and maintaining files.
- Front Office Operations: Greet visitors, parents, students, and staff, answer phone calls, and direct inquiries as appropriate.
- Student Records: Maintain and update student records (CA60s), including attendance, enrollment forms, and emergency contact information. Ensure confidentiality and compliance with relevant laws and regulations.
- Scheduling: Assist with scheduling appointments, meetings, and events within the school calendar. Manage the school's daily schedule, including field trips and other extracurricular activities.
- Communication: Serve as the primary point of contact for communication between parents, students, and staff. Disseminate information regarding school policies, events, and announcements.
- Financial Management: Assist with the management of petty cash and processing purchase orders.
- Data Entry and Reporting: Input and update data in school management systems, prepare reports, and ensure accuracy in all documentation.
- Student Health and Safety: Monitor and manage student attendance, and respond to emergencies or incidents as needed. Ensure that health and safety protocols are followed in the office. Submit local Health Department reporting requirements.
- General Office Duties: Order office supplies, prepare materials for meetings or events and handle other clerical duties as assigned.
Qualifications: - High school diploma or equivalent required; Associate's degree or higher preferred.
- Previous experience in an administrative or office environment, preferably in a school setting.
- Proficient in Google Drive, Apple Products, Word, Excel, and PowerPoint and familiarity with school management software PowerSchool.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work independently and as part of a team.
- Friendly, professional demeanor and customer service skills.
Physical Requirements: - Ability to sit, stand, and walk for extended periods.
- Ability to lift and carry light office supplies and materials.
- Ability to operate office equipment (e.g., computers, printers, telephones).
Report Times: - Monday-Friday 7:15-3:30
- 2-3 weeks prior to the school year beginning
- 2-3 weeks concluding the school year
