Role Description

This is a full-time on-site role as a Medical Spa Manager at Bella Luce Med Spa in Oklahoma City, OK. The Medical Spa Manager will oversee day-to-day operations, ensure exceptional customer service and satisfaction, manage staff, and coordinate treatments and services for clients.


Responsibilities

  • Perform regular inventory checks on retail, back bar, office, and medical supplies
  • Order all retail products, back bar items, medical supplies, and office supplies
  • Track and reconcile expenses; submit and manage expense reports
  • Manage vendor and sales rep relationships
  • Research, onboard, and launch new products and services
  • Handle maintenance, service, and repair scheduling for all medical and aesthetic devices
  • Manage staff schedules and timecards
  • Approve time off requests and ensure proper shift coverage
  • Supervise and support employee performance and morale
  • Enforce and update employee protocols and expectations
  • Oversee employee cleaning duties and general spa tidiness
  • Organize onboarding and continuous training for all employees
  • Manage employee commissions and incentives
  • Address employee concerns and resolve workplace issues
  • Recruit, hire, and train new staff as needed
  • Develop all monthly promotions, specials, and treatment discounts
  • Collaborate with the marketing team to promote monthly discounts and offers
  • Track and analyze sales to adjust promotional strategies
  • Resolve client complaints, concerns, and service-related issues
  • Ensure consistently high-quality client experience
  • Ensure compliance with privacy and safety protocols for all clients
  • Ensure compliance with all medical, legal, and safety regulations
  • Maintain required licenses and certifications for staff and spa operations
  • Ensure OSHA and HIPAA compliance in day-to-day functions
  • Monitor revenue, expenses, and profitability of the spa
  • Identify opportunities for growth and improvement
  • Set performance goals for the team and evaluate results

Qualifications

  • Spa Management and Skin Care expertise
  • Customer Satisfaction and Customer Service skills
  • Experience in Budgeting and Financial management
  • Excellent interpersonal and communication skills
  • Strong organizational and leadership abilities
  • Knowledge of medical spa treatments and procedures
  • Bachelors degree in business management or related field preferred.

Schedule is Monday through Friday 9:00am until 5:00pm, except on Thursday when we are open until 7:00pm.
