Job Title: Medical Receptionist Department: Front Desk
Reports to: Office Manager Location: Orland Park
Position Summary: The Medical Receptionist role is to deliver outstanding experiences while maintaining a welcoming and efficient environment. The role requires a proactive and personable Medical Receptionist to improve patient satisfaction, optimize provider schedules, and enhance our online presence through exceptional service and engagement.
Responsibilities:
Optimize Provider Schedule Utilization: Manage and maintain provider schedules to maximize appointment availability and minimize downtime. Proactively follow up on canceled or rescheduled appointments to fill openings efficiently. Ensure proper patient flow to reduce wait times and improve clinic productivity.
Enhance Patient Satisfaction: Welcome patients warmly and create a positive first impression. Address patient inquiries, concerns, and requests promptly and professionally. Streamline the check-in/check-out process for a smooth and efficient experience. Communicate clinic policies, procedures, and services to patients clearly and empathetically.
Practice Reviews: Actively engage with patients at checkout to request feedback on their visit. Encourage satisfied patients to leave positive reviews on Google and other platforms. Assist with managing the clinic's online presence by responding to patient reviews courteously and constructively.
Administrative Support: Schedule appointments and send reminders to reduce no-show rates. Manage patient records, ensuring accuracy and confidentiality. Assist with billing, insurance verification, and other administrative tasks as needed.
Requirements:
High school diploma or equivalent; additional certification in medical administration is a plus.
Previous experience in a medical receptionist or customer service role preferred.
Excellent communication and interpersonal skills with a strong focus on patient care.
Proficiency in scheduling software and basic computer applications.
Experience:
Prior experience in a medical receptionist, front desk, or customer service role is highly preferred (1-2 years).
Experience with medical scheduling software, electronic health records (EHR) systems, and insurance verification processes is a plus.
Familiarity with working in healthcare settings, such as clinics, hospitals, or private practices, is advantageous.
Physical Requirements:
Prolonged periods of sitting while working at a desk, using a computer, and reviewing billing documentation.
Frequent use of hands and fingers for typing, writing, and managing paperwork or digital systems.
Occasional lifting or moving of office supplies, equipment, or files, typically no more than 20 pounds.
Mobility around the workplace, such as attending meetings or navigating between departments, especially if overseeing clinic relocation projects.
