Working Hours: Monday-Friday, requires one evening shift per week and weekend coverage availability
Compensation: $22.00-$24.00 per hour, depending on years of experience. We offer an extra $2/hr for weekend hours worked.
About the Role:
The Medical Receptionist III plays a key role in ensuring exceptional front-end operations and patient communication, serving as both a skilled coordinator and a resource for junior team members. This individual is expected to demonstrate a high degree of autonomy, decision-making, and professionalism in overseeing complex scheduling scenarios, insurance verification, and supporting clinical workflow. They may also assist with training new staff and supporting the Office Manager or Supervisor in process improvements.
Key Responsibilities:
Appointment Scheduling & Patient Navigation:
- Manage complex scheduling needs, including provider-specific preferences and multi-appointment coordination (e.g., multiple services or providers).
- Troubleshoot scheduling conflicts and escalate appropriately when necessary.
- Assist with optimizing provider schedules to improve patient access and office efficiency.
Mentorship & Team Support:
- Support onboarding and peer mentoring of new hires.
- Serve as a go-to resource for daily operational questions regarding workflows and EMR functions.
Insurance & Billing Oversight:
- Take the lead on complex insurance verifications, including secondary insurance, prior authorizations, and out-of-network benefits when applicable.
- Resolve billing issues in collaboration with the billing team and provide clear explanations to patients regarding charges.
Patient Communications & Service Recovery:
- Manage escalated patient concerns over the phone and follow up to ensure resolution and satisfaction.
- Act as a liaison between patients and providers for sensitive or urgent scheduling needs.
EMR & Data Accuracy:
- Ensure accuracy in documentation and patient demographic updates in the EMR.
- Monitor and correct data discrepancies and contribute to EMR workflow enhancements.
Administrative Coordination:
- Assist with departmental workflow analysis, helping implement minor process improvements.
- Support the Office Manager with special administrative projects as assigned.
Front Desk Support:
- Cross-train and provide backup coverage at the front desk, assisting with check-in, patient forms, and inventory tracking.
Requirements:
- High school diploma or equivalent (GED) required; associate degree or healthcare certification preferred.
- Minimum of 3 years' experience in a medical receptionist or medical administrative role, preferably in a high-volume healthcare setting.
- Advanced proficiency in electronic medical records (EMR) systems-Athena experience strongly preferred.
- Demonstrated leadership skills, with experience mentoring or training others.
- Solid understanding of insurance verification and medical billing practices.
- Excellent multitasking, critical thinking, and conflict resolution skills.
- Outstanding phone etiquette, communication, and customer service abilities.
- Ability to remain calm, professional, and empathetic in a fast-paced environment.
- Familiarity with HIPAA regulations and patient confidentiality protocols.
