Job Description
The Administrative Assistant will provide support to the Physical, Occupational, and Speech Therapy departments by coordinating daily administrative operations. This role supports the Director of Rehabilitation Therapy and Clinical Supervisors in a fast-paced outpatient rehabilitation environment.
Key responsibilities include:
- Handling confidential information with discretion.
- Preparing correspondence, reports, meeting agendas, and minutes.
- Managing incoming and outgoing calls professionally.
- Scheduling appointments and meetings for department leadership.
- Verifying insurance, completing patient intake, and coordinating patient scheduling for various therapy programs.
- Ensuring timely billing by maintaining accurate records and collaborating with the Business Office.
- Preparing and distributing daily/monthly reports and maintaining patient databases.
- Coordinating workloads and supervising other secretaries, as needed.
- Providing courteous, service-oriented communication with patients and staff.
- Supporting departmental service integration across hospital units.
Must-Have Requirements:
- High school diploma or equivalent (GED) required.
- Previous experience in a medical front office or outpatient rehab setting.
- Strong computer proficiency, particularly in Microsoft Word and Excel.
- Insurance verification experience.
- Familiarity with Cerner documentation systems.
- Ability to multi-task efficiently in a busy environment.
- Strong verbal and written communication skills with professional demeanor.
