This position is remote but the employee must reside in Washington State.Job Description Our client is seeking a highly organized and proactive Marketing Project Coordinator to support our growing promotional marketing initiatives. As our promotional calendar heats up heading into summer and the holiday season, we need a dependable team player who can keep all the moving pieces on track.
This role is critical to ensuring that promotional activities run smoothly from asset collection to post-promo archiving. You'll assist with day-to-day coordination, asset management, supplier communication, and database upkeep - helping the broader team stay focused on strategy, execution, and growth.
Key Responsibilities
- Asset Management: Collect, organize, and archive marketing assets from suppliers; resize or rework as needed to meet platform specs.
- Supplier Coordination: Follow up with suppliers to ensure timely asset delivery and accurate promotional details; update supplier contact lists regularly.
- Board & Data Maintenance: Audit and update key promotional databases, including the Marketing Board, Supplier Summary Board, and Dev Planners.
- Promo Folder Organization: Maintain digital promo folders during campaigns; archive assets post-promotion for future use.
- Holiday Prep: Assist with planning, tracking, and coordination of seasonal promotional campaigns.
- Clean-Up Projects: Lead initiatives like Supplier Contact Board cleanup and Asset Archive maintenance.
- Analytical Bonus: If you have experience in data scraping or analytics, you'll assist with collecting and organizing promo performance data for internal reporting.
- Testing Support: Help support promotional and content testing during high-volume periods.
Qualifications What We're Looking For
- Proven experience in marketing coordination, project management, or a similar role.
- Comfort working with digital assets and basic editing/resizing tools (Photoshop, Canva, etc.).
- Meticulous attention to detail and a strong organizational mindset.
- Excellent communication skills, especially when interfacing with external partners.
- Experience with shared project management tools like Airtable, Asana, etc.
- Familiarity with or interest in promotional planning and marketing calendars.
- Bonus: Experience with analytics or scraping tools (e.g., Excel, Google Sheets, Python, or third-party scraping tools).
- Bonus: Familiarity with large commerce marketing frameworks or CPG/retail promotions is a plus.
