MARKETING / PAID MEDIA OPERATIONS COORDINATOR
The Marketing/Paid Media Operations Coordinator is an integral part of the Marketing & Creative team responsible for the daily support and insights critical to the operational success of our 360 Marketing Campaigns and Initiatives. This is an Operations role that will be the main
point of contact liaising between the Marketing Media Strategy team, the Creative teams and external media agencies to fulfill paid campaign needs such as tracking, monitoring, and reporting on the progress of the creative assets as well fulfilling other operational duties.
This is a project/limited term position, unless otherwise amended or terminated as deliverables within this project are completed.
KEY RESPONSIBILITIES
• Facilitate resource management for the Creative teams by identifying resource challenges before they cause schedule or delivery delays.
• Oversee the Marketing team's and the Creative team's workflows to identify when to escalate issues to management and when potential bottle necks within the processes may occur.
• Quickly become an expert, with the guidance of senior members, in all things "Paid Media".
• Perform quality control of delivered creative assets to confirm that all items have been received and meet the basic specs requirements (such as file type, file size, clip length, etc).
• Responsible for reviewing the metadata that the Paid Media agency uploads to the project management tool to make sure the information is accurate.
• Liase between the Creative teams and the Paid Media agency. Report changes and/or delays to agency to make sure Paid Media plan is adjusted accordingly. Also, communicate changes to the Creative team so they can adjust their workload and delivery strategy.
• Responsible for maintaining the metadata within the department project management tool, making sure the information is up to date, and that the team members are following the correct workflows to ensure the accuracy of the reports pulled from the system.
• Responsible for the delivery and distribution of final creative assets to internal and external stakeholders, vendors and/or agencies.
• Responsible for overseeing daily and weekly workload analysis across the
campaign/project and report possible delays or issues.
• Work with stakeholders, partners, and agencies simultaneously providing operational recommendations and solving technical challenges.
• Be the Operations "guru" attending the meetings with the agencies and Marketing leads and take detailed notes that will be organized for the executive team to review.
DESIRED SKILLS & EXPERIENCE
• 1 to 3 years of experience working directly with creative, design, and marketing teams, preferably in an operational role.
• Experience working in the media, broadcast, and/or entertainment industry. Prior experience working with Media or Ad Agencies a plus.
• Strong knowledge of creative and production workflows.
• A fast and fearless learner with a strong desire to learn industry best practices and trends.
• Strong communication skills and diplomacy verbal, written and interpersonal skills.
• Excellent communication and interpersonal skills with experience liaising between creative teams and stakeholders.
• Detail-oriented with strong follow-through to ensure project completion and success.
• Proficiency in Microsoft Office Suite (Outlook, Excel, Word) and file-sharing platforms (Dropbox, Google Drive).
• Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
• Willingness to work outside regular office hours, including nights and weekends, as needed.
• Must be fully bilingual in Spanish and English (written and spoken).
