Position Summary
The
Marketing Operations Manager functions as a strategic project leader responsible for overseeing and optimizing the execution of marketing initiatives. This role ensures operational excellence by managing timelines, coordinating resources, and driving cross-functional collaboration to deliver high-impact marketing content. The ideal candidate brings a disciplined approach to project management, enabling efficient workflow across the department and aligning marketing efforts with organizational goals-especially during critical event seasons, fundraising campaigns, and donor stewardship programs.
Key Responsibilities 1. Project & Campaign Management
Lead the planning and execution of multi-channel marketing campaigns, ensuring projects are delivered on time and within budget.
Maintain comprehensive project timelines, asset trackers, and deliverable calendars for campaigns, events, and donor gratitude initiatives.
Collect, organize, and track assets for donor reports and recognition materials, ensuring consistent quality and delivery.
Liaise with internal teams, creative agencies, vendors, and production partners to ensure deliverables meet strategic and brand goals.
Monitor project dependencies and adjust plans proactively to avoid delays or resource conflicts.
Utilize and champion project management tools (e.g., Asana, ) to streamline processes and improve team collaboration.
Manage vendor relationships, including processing invoices and maintaining budget oversight.
2. Content & Asset Management
Oversee digital asset management using platforms like Canto, ensuring marketing content-videos, graphics, photography-is properly tagged, stored, and easily retrievable.
Standardize and maintain naming conventions and folder structures for Marketing's shared drives.
Support archival and version control practices to ensure accuracy and brand consistency across all assets.
3. Cross-Team Collaboration
Serve as a central point of contact across marketing teams (Digital, Production, Field Marketing) to align on project deliverables and timelines.
Facilitate regular status meetings and reporting cadences with stakeholders to track progress and surface risks.
Support data collection and performance reporting efforts to inform campaign effectiveness and future planning.
4. Process Optimization
Develop and maintain Standard Operating Procedures (SOPs) and internal documentation to ensure repeatable, scalable processes.
Continuously identify bottlenecks and propose workflow enhancements to improve operational efficiency and output quality.
Advocate for and implement best practices in marketing operations, staying current with tools and trends.
Qualifications & Skills
5+ years in marketing operations or project management, ideally within a nonprofit, agency, or corporate environment.
Strong record of leading integrated marketing campaigns with a focus on collaboration and precision execution.
Expertise in project management tools and methodologies (e.g., Asana Microsoft Excel).
Experience managing creative production pipelines across digital, video, print, and events.
Excellent organization, time management, and communication skills.
Proactive and detail-oriented, with a strong sense of ownership and accountability.
Familiarity with nonprofit donor engagement or fundraising strategy is a plus.
