Marketing Manager / Proposal Coordinator

Location: Lodi, CA 95242

Job Type: Full-Time, 40 hours per work week

Salary: $75,000 - $90,000 per year + Benefits

Position Overview

We are seeking a motivated and detail-oriented Marketing Manager / Proposal Coordinator to lead the development of compelling RFP/Q responses and marketing materials. This individual will play a key role in supporting the firm's marketing and business development efforts across a range of initiatives-from proposal management and public relations to social media coordination.


Key Responsibilities

  • Proposal Management:
  • Lead the planning, writing, and production of responses to RFQs and RFPs. Coordinate with firm leadership, technical staff, and marketing team to ensure timely, high-quality submittals. Write and edit proposal content as needed.
  • Submittals & Awards:
  • Serve as the main coordinator for design award submissions. Manage schedules and organize all tasks related to proposals, qualification packages, presentations, and submittals.
  • Content Development:
  • Maintain and update marketing content, including project data sheets, staff resumes, and boilerplate language. Oversee internal marketing databases.
  • Marketing Asset Management:
  • Organize and maintain all electronic and physical marketing files-resumes, project sheets, images, interview content, and presentation materials.
  • Public Relations & Media:
  • Draft and distribute press releases. Support article writing and placement in relevant publications. Coordinate across traditional and digital PR channels.
  • Social Media & Web Management:
  • Manage website updates and content creation. Develop and implement social media campaigns. Track performance analytics and adjust strategies accordingly.
  • Graphic Design & Visual Media:
  • Support graphic layout for proposals and presentations. Oversee professional photography and video production to document projects.
  • Collaboration & Coordination:
  • Work closely with proposal teams, consultants, photographers, printers, and other vendors. Coordinate logistics for proposal reproduction, binding, and delivery.
  • Event & Newsletter Management:
  • Plan and coordinate firm events. Lead the creation and distribution of client-facing newsletters.
  • Editing & Proofreading:
  • Provide editing, formatting, and quality assurance for technical and marketing content.

Qualifications & Requirements

  • Minimum 2 years of experience in marketing, communications, or public relations-preferably within the Architecture/Engineering/Construction (A/E/C) industry.
  • Bachelor's degree in Marketing, Journalism, Communications, English, Business, or a related field preferred.
  • Strong writing, editing, and communication skills.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Advanced proficiency in Adobe Creative Suite, especially InDesign (template creation experience required), Illustrator, Acrobat, and Photoshop.
  • Familiarity with CRM software and marketing databases.
  • Experience with proposal writing, formatting, and production in the A/E/C industry.
  • Strong organizational and time management skills with the ability to handle multiple priorities.
  • Self-motivated and able to work independently.
  • Detail-oriented, creative, and strategic thinker.
