The Marketing Coordinator (Operations) reports to the Manager of Marketing Operations and plays a key role within the Marketing & Communications team. This position supports the team's efficiency and effectiveness by handling a variety of marketing, project management, social media, corporate communications, public relations, digital, event logistics, and administrative tasks. The role focuses on streamlining processes and ensuring smooth operations within the department.

Position Responsibilities:
  • Project Management: Act as project management liason on projects that require interaction and coordination with Marketing Communications department leads and/or team. Working with the Marketing Operations Manager, set timelines and deliverables, consolidate feedback as needed, adhering to set timeline and delivering final product
  • Report Preparation: Assist with weekly, quarterly and annual department reporting processes, including support of the annual strategic planning process
  • Process Documentation: Maintain a playbook of department processes and procedures to support consistent operations and knowledge sharing across teams
  • Inbox Management: Triage, respond and route inquiries from the department email inbox and marketing-related service tickets as necessary
  • PowerPoint Support: In partnership with team members and/or business partners, create and update PowerPoint presentations for various audiences, ensuring brand consistency and high-quality visuals
  • Financial Support: Oversee department invoicing processes and financial reporting
  • Onboarding: Support the marketing and communications deliverables for onboarding new sales professionals which includes coordination of bios, headshots, communications/announcements and more
  • Asset Management: Maintain and manage the photo library (headshots) and marketing collateral library to ensure accessibility and organization including scheduling and coordination of photo shoots for new employees
  • Digital & Social Media Support: Assist team in sourcing employee quotes and spotlights, maintain a library of subject matter experts and topics for reference. Ad hoc team requests as needed
  • Meeting and Event Support: In partnership with the Meeting & Events team, provide logistical support that enhances the attendee experience such as welcome packages, agenda creation, branded merchandise coordination, and overall process management
  • E-mail Marketing: Leverage templates and coordinate creation of routine content for distribution by email marketing campaigns
  • Branded Merchandise: Coordinate apparel and branded merchandise for special events and other needs
  • Team Event Coordination: Plan and coordinate team training, meetings and events for our department
  • General Administrative Tasks: Perform administrative tasks, including meeting logistics, catering, and other support as assigned
What We're Looking For:
  • Bachelor's degree required. Will consider commensurate professional experience in lieu of education
  • 3+ years' experience performing professional project management, ideally in a marketing or communications/PR department
  • Proven experience as a marketing, communications, or social media coordinator role, or similar
  • Strong organizational skills including the ability to juggle multiple tasks, deadlines, and stakeholder requests
  • Strong interpersonal skills, able to collaborate and engage with people at all levels of the company
  • High attention to detail
  • Flexible and adaptable to a dynamic work environment
  • Strong ability to problem solve and manage multiple efforts simultaneously
  • Excellent written and verbal communication skills
  • General knowledge of traditional marketing and communications areas of expertise, such as media/PR, events and tradeshows, print production, websites, intranet, email marketing, and graphic layout/design
  • Knowledge of email platforms and website content management systems preferred.
  • Strong experience in PowerPoint, Word, Excel and other Microsoft programs - Asana experience a plus

Minnesota Residents: Northmarq carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The hourly range for the Marketing Coordinator position is $24.00 to $29.00/hour. This range is a good faith estimate and the actual compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
