Position Summary:

We are seeking an administrative professional, who is motivated by 'behind the scenes' operational support that helps make the marketing magic happen, to join our marketing team at Visit Dallas. In this role, you will be responsible for supporting the team, program coordination, administrative processes and accounting procedures. Your dedication to accuracy, following guidelines and ensuring that the team has administrative support will be vital to us achieving our marketing objectives.

Essential Role and Responsibilities:
  • Coordinate logistics for meetings and events including IT/AV, venues, meals, transportation/parking, agendas, minutes and communications
  • Coordinate reservations and logistics for media Familiarization Tours
  • Monitor and provide brand standard support and quality control
  • Provide marketing request support including coordination of team member business cards, nameplates, office signage, and other projects
  • Create and update partner listings including writing/editing content and sourcing photos/videos
  • Oversee storage and inventory of marketing department promotional materials
  • Coordinate with other departments and vendors for promotional material inventory, requests and ordering
  • Coordinate with finance and accounting for processing of purchase orders, invoices, new vendor set ups and payments
  • Maintain updated financial reports and share timely information with team members
  • Serve as department resource for policies and procedures and ensure departmental compliance
  • Maintain data integrity of contacts, itineraries, in-kind, inventory, etc. in databases (CRM)
  • Assist with Margarita Mile program implementation including identification and selection of partners, fostering restaurant relationships, communications with partners and team, prize fulfillment, branding and pass build-out and maintenance
Additional Responsibilities
  • Provide general administrative support to the department and team members including incoming and outgoing mail and shipping.
  • Contribute to the organization's safe, healthy, positive, professional and productive work environment and culture.
  • Other tasks as assigned.
Expected Competencies, Performance Attributes and Characteristics:
  • Knowledge of the tourism & hospitality industry, especially as it pertains to Dallas.
  • Exceptional written and verbal communication skills, with the ability to maintain the organization's voice and style.

Desired Education and Experience:
  • Bachelor's degree in marketing, communications, or a related field.
  • Knowledge and experience in traditional and digital marketing, content marketing, social media marketing, public relations/media and project coordination
  • Experience and proficiency working with Microsoft Office 365 Suite of products
  • Experience within the tourism or hospitality industry is preferred

Work Environment and Physical Demands:

The person in this role will mostly operate in an office environment with frequent and consistent use of a laptop computer, monitor, keyboard, mouse, cell phone and copier. It is partly a sedentary role with extended work time sitting and using a cell phone and computer with desktop accessories. There may be occasions working at off-site locations including the convention center, restaurants, music venues and hotels where the environments will vary. The person in this role will need to be able to lift and carry up to 30 pounds occasionally. Bending, twisting, stooping and reaching above and below shoulder height is required.

Expected Hours of Work:

This is a full-time position with an expectation of 40 + hours of work each week. The regular office hours are Monday through Friday 8:30am to 5pm. Evening and weekend work and participation in events that occur outside of the regular office hours is expected occasionally.

Expected Travel:

The person in this role can expect up to 20% local travel (within the Dallas area) and may require travel on occasion outside of Dallas and the immediate driving area to attend industry meetings, conferences, and other events or activities.
